Role Summary

Hollybrook seeks an experienced Controller who combines strong accounting expertise with leadership, initiative, and sound business judgment.

This role requires active involvement throughout the operation: meeting with managers, leading accounting staff, verifying that procedures are followed, and resolving issues promptly. The successful candidate must translate financial information into clear recommendations and ensure that decisions are supported by reliable analysis.

The Controller reports to the Board of Directors through the President and works closely with the Financial Secretary, Treasurer, and Finance Committee, which assists with budget preparation and review. The Controller collaborates daily with the General Manager and department managers to coordinate financial and operational priorities.

Responsibilities

  • Lead the accounting team, establish priorities and deadlines, and ensure accurate, timely work.
  • Coordinate timely departmental inventories, reconciliations, and investigation of discrepancies.
  • Ensure invoices are accurate, properly documented, and approved under the Association’s authorization procedures.
  • Ensure timely payment of accounts payable while managing cash flow.
  • Monitor accounts receivable and coordinate collection follow-up to reduce delinquencies.
  • Prepare timely financial statements, reconciliations, cash-flow forecasts, and budget variance reports.
  • Work with the Treasurer, Financial Secretary, Finance Committee, General Manager, and department managers to prepare and monitor operating and capital budgets.
  • Track reserve funds, special assessments, capital-project expenditures, and borrowing activity.
  • Maintain a contract register identifying expiration dates, automatic renewals, cancellation notice deadlines, price increases, and financial commitments.
  • Bring renewal and cancellation decisions forward early enough for review and approval, and coordinate timely execution of authorized notices.
  • Analyze proposed contracts and competing bids, including total costs, payment terms, escalation clauses, cash-flow effects, and long-term commitments.
  • Present clear financial recommendations to support contract negotiations and approval decisions.
  • Strengthen internal controls and coordinate with external auditors and the property management accounting team.
