Billing Specialist

Randstad has partnered with a leading national non-profit organization in the education space. We are seeking a senior-level Billing Specialist to oversee complex, transaction-driven billing activities and support revenue operations.

In this critical role, you will act as a billing subject matter expert, partnering across Finance, Operations, Sales, and Customer Success to ensure invoicing integrity, resolve complex variances, and strengthen internal controls. Operating in a remote-first model with periodic (up to once/month) on-site visits to our client's Herndon, VA office, you will analyze revenue streams, support month-end close and audit readiness, and implement scalable process improvements in systems like Sage Intacct. Key Responsibilities

• Oversee complex billing transactions across multi-revenue streams, verifying contractual compliance, schedule accuracy, and proper billing treatment.
• Perform detailed account reconciliations, analyze billing and revenue data to uncover trends or anomalies, and resolve complex discrepancies.
• Partner with Operations, Sales, and Customer Success to address non-routine billing issues, clarify contract terms, and review billing adjustments and credits.
• Support the Senior Financial Analyst and Finance team with revenue reporting, validation, audit documentation, and month-end close activities.
• Assist in configuring and testing billing systems, such as Sage Intacct, and lead workflow improvements to optimize data accuracy and efficiency.
• Develop standard operating procedures, maintain billing documentation, and provide informal guidance and mentoring to junior team members.
• Ensure strong internal controls and compliance with financial policies across all billing processes.

Requirements: Bachelor’s degree in Finance, Accounting, or a related field (or equivalent military/professional experience) plus 4+ years of progressive billing, A/R, or revenue operations experience. Strong proficiency in Excel (pivot tables, lookups), ERP systems (Sage Intacct preferred), and financial reconciliations. Proven ability to analyze complex contracts, resolve discrepancies, and collaborate cross-functionally. Must be authorized to work in the U.S. and reside in an approved hiring state with ability to travel to Herndon, VA as required. CPA is a plus.

salary: $67,000 - $84,000 per year shift: First work hours: 8 AM - 4 PM education: Bachelors

Responsibilities

• Core Mandate: Own and execute complex, end-to-end billing across multiple diverse revenue streams while driving process optimization, internal controls, and data integrity.
• Contract & Revenue Integrity: Review customer contracts, service agreements, and pricing structures to ensure proper invoice generation, minimize revenue leakage, and support accurate ASC 606 revenue recognition.
• Discrepancy Resolution & Reconciliations: Perform in-depth account reconciliations, research billing variances, approve adjustments/credits within delegated authority, and resolve complex billing issues cross-functionally with Sales, Customer Success, and Operations.
• Systems, Automation & Audit Support: Serve as a billing subject matter expert in Sage Intacct and integrated platforms; assist in testing system configuration changes, leading automation enhancements, updating SOPs, and fulfilling external audit PBC requests.
• Analytics & Close Partnership: Support the Senior Financial Analyst and General Ledger team during month-end close by supplying transactional reconciliations, revenue trend analyses, and variance reporting.
• Leadership & Team Mentorship: Act as an informal mentor to junior billing staff, model organizational competencies (Customer Focus, Process Optimization, Authentic Communication), and participate in enterprise finance transformation projects.
