Original job description

PrideStaff is seeking an energetic, detail-oriented Administrative Assistant to join a growing, collaborative team in a fast-paced office environment. This role serves as the central hub of daily operations, touching everything from front-office reception and vendor coordination to entry-level support in human resources and accounting. If you take pride in creating an organized workplace, love coordinating team events, and want a position with room to expand your professional skill set, we want to hear from you. Job Overview: In this role, you will be the welcoming face of the organization while ensuring daily administrative functions run seamlessly. You will support general office workflows, coordinate routine facility services, assist with basic employee onboarding and candidate tracking, and handle routine recordkeeping.

Key Responsibilities:

  • Greet visiting guests, direct incoming calls, manage daily correspondence, and distribute incoming mail and packages.
  • Oversee workplace supplies, kitchen amenities, and snack orders to maintain a clean, fully stocked office.
  • Coordinate basic facility maintenance, conduct routine building walkthroughs, and interface with service contractors for scheduled inspections and minor repairs.
  • Assist with vendor documentation, maintaining current files, W-9s, and certificates of insurance.
  • Support recruitment and onboarding initiatives, including interview scheduling, orientation preparation, and directory updates.
  • Assist with light accounting and financial administration, including tracking receipts, filing packing slips, and maintaining expense records with strict confidentiality.
  • Coordinate internal company culture initiatives, team-building activities, holiday decor, milestone celebrations, and group catering.
  • Handle occasional off-site errands and assist with corporate travel arrangements when needed.

Qualifications:

  • High school diploma or equivalent required.
  • Minimum of 1 to 2 years of administrative, front desk, or office support experience preferred.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
  • Valid driver’s license and reliable transportation for occasional errand runs.
  • Strong organizational habits, clear verbal and written communication, and sound discretion with confidential data.
  • Proactive problem-solving attitude with an interest in learning office operations, basic HR support, and bookkeeping practices.

Compensation / Pay Rate (Up to): $20.00
