Key Responsibilities
System selection and implementation
- Gather and refine requirements from AP, procurement, finance, and travelers and approvers, and translate them into a clear configuration and requirements document for the selected platforms.
- Support the final stages of vendor selection as needed, including contract and scope review, and validate that the chosen platforms meet the documented requirements.
- Lead implementation from kickoff to go-live: project plan, configuration, workflow and approval design, policy setup, user acceptance testing, and cutover.
- Design and manage integrations with the general ledger / ERP, corporate card feeds, and the payroll or HR systems.
- Train employees, approvers, and finance staff, and create user guides and quick-reference materials.
Ongoing system ownership
- Serve as the system administrator and primary point of contact for both platforms, including user access, policy changes, and vendor relationships.
- Monitor adoption, exceptions, and out-of-policy spend, and report on trends to finance leadership.
- Manage vendor contracts, renewals, releases, and enhancements, and keep documentation current.
- Troubleshoot issues, coordinate with vendor support, and drive fixes to resolution.
AP and procurement process improvement
- Map current AP and procurement workflows and identify manual steps, bottlenecks, and control gaps.
- Recommend and implement automation, such as approval routing, three-way match, and invoice capture, to reduce cycle time and errors.
- Document policies and procedures, including spend approval thresholds, vendor onboarding, travel and expense policy, and keep them current as the company grows.
- Partner with AP, credit card and procurement teams as well as department leaders to improve purchasing compliance and vendor spend visibility.
- Build controls into each process so it is audit-ready
AME AP process
- Review the current AP AME process, document how it works and recommend improvements.
- Take ownership of the AP AME process where appropriate, as the role grows.
Required Qualifications

- Strong process-mapping and documentation skills, with the ability to turn messy manual workflows into clear, automated ones.
- Strong understanding of internal controls, including approval hierarchies, segregation of duties, and three-way match.
- Comfortable working in Excel, including pivot tables and lookups, and with reporting and data analysis.
- Excellent communication and training skills, and the ability to work with executives, employees, and vendors.
- Strong project management skills: self-directed, organized, and able to manage competing priorities.
Preferred Qualifications
