Description

The Litigation Technology Calendar Manager is responsible for managing the Litigation Technology section of the Calendar, including forecasting resource availability, assigning qualified resources to jobs, and coordinating day-to-day operational support. This role balances client preferences, resource skill sets and restrictions, job requirements, and the use of in-house resources versus outsourcing. The position also serves as a key point of communication among Calendar, Litigation Technology, and other internal departments, helping resolve time-sensitive issues and maintain smooth daily operations.

The ideal candidate is highly organized, analytical, detail-oriented, and able to think critically in a fast-paced environment where priorities can change quickly. This individual must communicate professionally with internal teams, clients, and independent contractor resources; exercise sound judgment; build positive relationships; and remain flexible when responding to changing coverage needs, last-minute assignments, and after-hours emergencies.

  • Regularly monitor and manage resource availability using internal scheduling and reporting systems.
  • Review upcoming assignments and forecast staffing needs, identifying hard-to-cover jobs and planning for fluctuations in calendar volume and resource availability.
  • Assign resources based on qualifications, skill sets, client and job preferences, restrictions, availability, and the appropriate use of in-house resources versus outsourcing.
  • Identify clients and assignments that may be appropriate for digital reporting/PPR services, consistent with client requirements and applicable restrictions.
  • Review job notes and requirements to identify potential hurdles, special requests, and opportunities to provide resources with the information needed to execute assignments successfully.
  • Coordinate last-minute requests, assignment changes, and coverage challenges in partnership with the other Calendar Department Managers and Litigation Technology Management.
  • Work with Litigation Technology Management to identify regional coverage gaps, onboard resources where additional coverage is needed, and communicate resource or coverage concerns.
  • Seek and incorporate resource feedback, build positive relationships with Litigation Technology resources, and support resource satisfaction and retention, including participation in local Litigation Technology events as appropriate.
  • Distribute daily Job Assignment Sheets and communicate assignment details; help acknowledge resource assignment confirmations.
  • Serve as a point of contact for department phone calls and support resources and internal departments with scheduling and assignment questions.
  • Monitor and help manage the shared Calendar Department inbox, prioritize and respond to emails, and coordinate with Calendar Managers and other departments as needed.
  • Respond to and troubleshoot time-sensitive operational issues, escalating when appropriate and exercising sound independent judgment.
  • Forecast staffing availability by reviewing future calendars and assist internal departments with questions regarding resource availability, staffing capacity, and PTO requests.
  • Coordinate resource logistics and accommodations, including protective orders, secure-entry names, equipment lists, contact information when appropriate, dietary restrictions, and other client-specific requests.
  • Assist with maintaining accurate resource information, preferences, restrictions, and departmental records.
  • Identify and implement process improvements and operational efficiencies across Calendar and Litigation Technology workflows.
  • Communicate and collaborate effectively with Scheduling, Litigation Technology, Sales, Operations, Client Services, and other internal teams.
