At PVS Structures, a load leaving the shop isn’t just freight - it’s fabricated structural steel headed to a real jobsite with a real deadline. We’re hiring a Shipping Coordinator to manage the daily flow of inbound and outbound shipments, build and maintain the weekly shipping schedule, and serve as the primary point of contact for all shipping-related functions at our Carter Lake facility. This is a hands-on coordination role that sits at the intersection of the shop floor, project management, trucking, and the customer - and the person who fills it needs to be organized, proactive, and comfortable making decisions when things don’t go as planned. The Details
- Pay: $26.00–$29.00/hr depending on experience
- Hours: Mon–Fri, 7:00 AM – 4:00 PM
- Location: Carter Lake, IA - near downtown Omaha
- Reports to: Plant Manager
What You’ll Do Scheduling & Shop Floor Coordination
- Build and maintain the weekly shipping schedule in coordination with project managers, shop foremen, and customers; update priorities as project status and requirements change
- Walk the shop daily to verify the status of fit-up, welding, paint, and galvanizing - and confirm which pieces are actually ready to ship
- Monitor job completion status across all active production orders; communicate regularly with shop supervisors and project managers on accurate completion times
- Track shortages, rework items, and missing or untagged pieces; report discrepancies promptly
Load Verification & Documentation
- Verify piece marks, quantities, and tags against shipping lists, shop drawings, and ship sequences before each load departs
- Prepare Bills of Lading, packing lists, and load sheets; send shipping confirmations to customers and jobsite contacts
- Receive and process inbound material receipts in SAP for incoming steel, sub-vendor returns, and other materials; verify against purchase orders and resolve discrepancies
- Review all returned shipping paperwork for accuracy; distribute to accounting and file per PVS ISO standards
- Keep shipment records current in SAP and applicable ERP/tracking systems (Tekla, FabSuite, STRUMIS); run status reports for weekly project meetings
Carrier & Vendor Coordination
- Coordinate carrier scheduling - flatbeds, step decks, and RGNs - and arrange permits, escorts, and delivery windows for oversize and overweight structural loads
- Coordinate with galvanizers, painters, and outside vendors on material pick-up, delivery, and turnaround timing
- Direct loading, blocking, tie-down, and bundling of structural steel, working with crane operators and yard crew to ensure safe and compliant load securement
Communication & Systems
- Actively communicate with project management and sales teams regarding order status, upcoming releases, schedule changes, and delivery commitments
- Work within and promote the OPTS system for material movement tracking
- Assist with Sales Order Entry as needed
- Coordinate production order closings for Post Goods Issue against Bills of Lading
- Generate and distribute cycle count paperwork; reconcile inventory in coordination with management
What We’re Looking For
- Ability to read structural shop drawings, piece-mark lists, and shipping sequences - familiarity with structural steel shapes, plate, and connections
- Strong organizational and prioritization skills - comfortable managing multiple outbound loads and inbound receipts simultaneously under deadline pressure
- Working knowledge of flatbed and step-deck trucking, load securement, and DOT weight and permit requirements for oversize structural loads
- Proficiency with SAP or comparable ERP system and Microsoft Office Suite - Excel and Outlook especially; experience with Tekla, FabSuite, or STRUMIS is a strong plus
- Clear, effective communication skills - able to direct and coordinate across production, project management, sales, accounting, and external carriers
- Strong customer service orientation - committed to on-time delivery and professional relationships
- Problem-solving ability and sound decision-making under time pressure - self-reliant and proactive
