Original job description

Position summary

The HR Operations Analyst is Ovation's owner of HR systems, records, and documented processes across all three facilities. Reporting to the VP of Human Resources, this role makes our HRIS work accurately for every employee, serves as Ovation's HR reporting expert, keeps personnel and training records survey-ready, and turns HR data into reports leaders can act on.

This role sits behind every paycheck, credential, and personnel file at Ovation. Accuracy here builds trust with our caregivers and protects our residents, our licensure, and our reputation.

Key responsibilities

HRIS administration (approx. 40%)

  • Serve as Ovation's HRIS subject-matter expert and primary system administrator across all three facilities
  • Configure and maintain employee data, positions, pay rules, accruals, shift differentials, and CBA rates; audit regularly for accuracy
  • Manage system changes and HRIS releases: test before go-live, maintain security roles by position, and keep configuration documented
  • Partner with payroll and finance to resolve discrepancies at the root cause, not one paycheck at a time
  • Shape the candidate, manager, and employee experience (application to day one, manager self-service, the employee app); serve as the go-to resource, train users, and build simple job aids
  • Build and maintain learning profiles by position, department, and facility so the right courses assign automatically at hire, transfer, and promotion
  • Load required courses, in-services, and due dates with the education team
  • Track completions, send overdue alerts to managers, and produce training compliance reports for surveys
  • Serve as Ovation's HR reporting expert; build and maintain a standard report library in Paycom and Excel, plus ad hoc analysis
  • Prepare compliance reporting, including EEO-1 and, if Ovation holds covered federal contracts, Section 503 and VEVRAA affirmative action data
  • Deliver audit-ready data for state surveys, workers' compensation, benefits, retirement plan, and financial audits
  • Own benefits carrier files: maintain the carrier feeds from Paycom, reconcile enrollments and deductions against carrier invoices, resolve discrepancies, and support open enrollment setup and reporting
  • Run candidate and new-hire experience surveys, and report themes and the actions taken
  • Automate ATS follow-up so every candidate hears back within five business days
  • Connect training completion to 90-day retention

Qualifications

Required

  • 3+ years of HR administration, HRIS experience
  • Hands-on administration of an HRIS, HCM, or payroll system (Paycom, ADP, UKG, Workday, Paylocity, Dayforce, or similar), including configuration, reporting, and troubleshooting, not only end-user experience. Paycom is strongly preferred, not required
  • Working knowledge of employment record-keeping requirements (I-9, FLSA, FMLA, personnel file retention)
  • Advanced reporting skills: builds custom reports and Excel analyses (pivot tables, lookups) for audits, compliance, and leadership
  • Demonstrated ability to document processes clearly and consistently
  • High discretion with confidential information

Preferred

  • Experience in a long-term care, assisted living, skilled nursing, or other healthcare setting
  • Familiarity with Wisconsin caregiver background check requirements and state survey readiness
  • Experience in a unionized environment, including CBA-driven pay and accrual rules
  • Associate's or bachelor's degree in HR, business, or a related field; SHRM-CP or PHR a plus
