Original job description

Location: Oak Brook, IL | Hybrid: 4 Days On-Site Salary: $80,000–$85,000 | Relocation Assistance Available Help Build the Systems Behind the Future of Nuclear Energy The Opportunity Are you an experienced Document Controller looking for an opportunity to take greater ownership, work closely with engineering teams, and help shape document management processes rather than simply maintain them? At NANO Nuclear Energy, you'll play an important role in supporting Engineering and Quality Assurance as we formalize our document-control processes and implement an enterprise Records Management System (RMS). This is an opportunity to contribute to both day-to-day document management and a broader systems transformation. You'll help organize and migrate legacy technical records, maintain control of active engineering documentation, and support the development of more efficient, reliable processes. Working closely with engineering professionals, project teams, and external stakeholders, you'll help ensure that critical technical information is accurate, accessible, traceable, and properly controlled. Why This Opportunity Stands Out

Help Shape New Processes: Contribute to the development and implementation of document-control procedures and a new enterprise Records Management System.
Beyond Traditional Document Control: Gain hands-on experience with document migration, metadata management, process improvement, and system implementation.
Direct Engineering Exposure: Work closely with Engineering, Quality Assurance, project teams, and external partners supporting advanced nuclear technology.
Meaningful Ownership: Manage important technical documents throughout their lifecycle, from initial review and approval through revision, retention, and archiving.
Professional Development: Expand your technical knowledge through mentorship, cross-functional collaboration, and exposure to evolving document management systems.
Flexibility & Benefits: Enjoy a hybrid schedule, competitive benefits, retirement matching, unlimited PTO, and relocation assistance for qualified candidates.

What You'll Do Document Management & Control

Manage engineering and quality documentation, including design documents, technical specifications, drawings, calculations, procedures, supplier records, and vendor submittals.
Coordinate document reviews, approvals, revisions, distribution, retention, and cancellation to ensure accurate and timely information flow.
Maintain document numbering, revision histories, metadata, access permissions, registers, transmittals, and approval records.
Coordinate the exchange of controlled documentation between NANO and external organizations.
Records Management & Systems Implementation
Review, organize, classify, and index legacy Engineering and Quality Assurance documentation in preparation for migration to new systems.
Identify document ownership, applicability, lifecycle status, and migration requirements while resolving or escalating missing, duplicate, and outdated records.
Prepare, validate, and reconcile document metadata and source data for migration into Product Lifecycle Management (PLM), RMS, and other approved repositories.
Maintain interim tracking logs and status reports to ensure active documents remain controlled and traceable during system implementation.
Support document management throughout its lifecycle following implementation.

Quality, Compliance & Collaboration

Partner with internal departments, project teams, and external stakeholders to maintain accurate and accessible documentation.
Support internal audits, quality assessments, and document retrieval requests.
Assist with user training and help resolve document-control, system, and data-quality issues.
Protect confidential information and maintain appropriate document access controls.

What You'll Bring Required Qualifications

At least 2 years of experience in document control, records management, information governance, contract administration, project administration, or a related field.
Working knowledge of document lifecycles, version control, metadata, access controls, approvals, retention, retrieval, and archiving.
Proficiency with electronic document management systems (EDMS).
Strong Microsoft Office skills, including Word, Excel, Outlook, and SharePoint.
Excellent organizational skills, attention to detail, and the ability to manage multiple priorities.
Strong communication skills and sound judgment when handling sensitive information.

Preferred Qualifications

Bachelor's degree or equivalent combination of education, training, and relevant experience.
Experience in nuclear energy, construction, medical, or another highly regulated industry.
Experience supporting Engineering, Operations, Project Management, Procurement, HR, Business Development, or Quality teams.
Familiarity with contract repositories and related document management processes.

Compensation & Benefits NANO Nuclear Energy offers competitive compensation based on experience, education, and qualifications, along with a comprehensive benefits package:

Annual Base Salary: $80,000–$85,000
Hybrid Work Arrangement: Four days on-site in Oak Brook, Illinois.
Relocation Assistance: Available for qualified candidates.
Health & Wellness: Medical, dental, vision, and life insurance with generous company contributions.
Retirement: 401(k) plan with company matching up to 5%.
Paid Time Away: Unlimited PTO, company holidays, and parental leave.
Career Development: Mentorship and opportunities to expand technical expertise and leadership capabilities.
Collaborative Environment: Work alongside professionals committed to technical excellence and advancing nuclear technology.

Ready to Take the Next Step? If you're currently working in document control or records management and looking for an opportunity to contribute beyond routine document administration, we'd welcome the opportunity to connect. Join NANO Nuclear Energy and help build the document management infrastructure supporting the next generation of nuclear technology. Apply today to learn more about this opportunity.
