Position Summary
The MEP Assistant Project Manager supports the planning, coordination, installation, testing, commissioning, and closeout of mechanical, electrical, plumbing, fire protection, life-safety, low-voltage, elevator, and utility systems. This hands-on role works between project management, field supervision, subcontractors, vendors, design consultants, inspectors, utility providers, and ownership representatives to keep MEP work coordinated, documented, on schedule, within budget, and ready for turnover.
Key Responsibilities
MEP Coordination
- Assist with daily MEP project management and field coordination across one or more active projects.
- Coordinate mechanical, electrical, plumbing, fire sprinkler, fire alarm, low-voltage, access control, security, data, distributed antenna, elevator, controls, and utility scopes.
- Review coordination drawings and identify conflicts between MEP systems, structure, architecture, ceilings, equipment clearances, and access requirements.
- Participate in owner, design, subcontractor, coordination, and field meetings; document commitments and follow issues through final resolution.
Submittals, RFIs, and Design Management
- Prepare, submit, and track MEP RFIs, submittals, resubmittals, deferred submittals, and design clarifications.
- Review drawings, specifications, schedules, approved submittals, equipment requirements, and field conditions for alignment across trades.
- Maintain current project records and communicate approved changes to field leadership, subcontractors, vendors, and affected trades.
- Track design decisions that affect equipment selection, pathways, power, controls, structural support, access, testing, and inspections.
Procurement and Equipment Tracking
- Prepare and maintain procurement logs, purchase orders, material releases, equipment status, and delivery schedules.
- Monitor long-lead equipment including HVAC equipment, pumps, water heaters, plumbing fixtures, switchgear, transformers, panels, generators, transfer switches, lighting, fire alarm components, controls, and elevator equipment.
- Coordinate vendor submittals, fabrication, delivery, storage, startup requirements, replacement parts, and field receipt.
Cost and Change Management
- Assist with MEP budgets, commitments, forecasts, allowances, contingency items, and cost tracking.
- Review subcontractor and vendor proposals and help prepare change orders with scope narratives, drawings, pricing backup, and schedule impacts.
- Identify scope gaps, design changes, unforeseen conditions, and potential cost exposure before work proceeds.
Schedule and Field Support
- Develop and maintain MEP milestone, procurement, installation, inspection, startup, and commissioning trackers.
- Review short-term schedules with field leadership and track manpower, material, equipment, access, inspections, shutdowns, and constraints.
- Coordinate utility releases, temporary services, permanent power, gas, domestic water, sewer, communications, energization, and system turnovers.
- Conduct regular site walks to verify installation progress, system readiness, quality, access, and coordination with other trades.
Quality, Testing, Commissioning, and Closeout
- Track inspections, correction notices, quality-control observations, punch-list items, and jurisdictional approvals.
- Coordinate startup, testing, balancing, controls verification, fire alarm testing, fire sprinkler testing, generator and transfer switch testing, elevator testing, and commissioning activities.
- Maintain system readiness and turnover checklists tied to project milestones, temporary certificates of occupancy, and final completion.
- Collect as-built drawings, operation and maintenance manuals, warranties, startup reports, testing reports, training records, attic stock, spare parts, and closeout documentation.
Required Knowledge and Skills
- Ability to read and understand mechanical, electrical, plumbing, fire-protection, life-safety, low-voltage, controls, and elevator drawings and specifications.
- Working knowledge of HVAC, plumbing, electrical distribution, emergency power, lighting controls, fire alarm, fire sprinkler, building controls, low-voltage systems, elevators, and utility coordination.
- Ability to understand system interfaces, including power, controls, monitoring, alarms, shutdowns, equipment clearances, access, and testing requirements.
- General familiarity with construction inspections, testing, commissioning, code compliance, and authority-having-jurisdiction requirements.
- Strong organization, documentation, written communication, problem-solving, and follow-through.
- Ability to manage multiple priorities, clearly communicate risks, and drive open items to closure.
- Proficiency with Bluebeam Revu, Microsoft Excel, Word, Outlook, Teams, Autodesk Build, and scheduling software such as Microsoft Project.
Preferred Qualifications
- Two or more years of MEP, specialty-trade, project engineering, or construction coordination experience.
- Previous experience as an MEP Project Engineer, MEP Coordinator, Assistant Project Manager, or specialty-trade project coordinator.
- Commercial or multifamily construction experience preferred.
- Experience coordinating multiple building systems through installation, inspection, testing, commissioning, and closeout.
- OSHA 30 certification preferred.
- Degree in construction management, mechanical engineering, electrical engineering, or a related field preferred; relevant MEP construction experience may be considered in place of a degree.
- Field experience with one or more MEP trades is strongly preferred.
Success Characteristics
- Self-starter who takes ownership of coordination issues from identification through final resolution.
- Comfortable working directly with field personnel, subcontractors, vendors, engineers, inspectors, utility representatives, and ownership teams.
- Organized, accountable, responsive, and able to work with limited supervision.
- Willing to ask direct questions, challenge incomplete information, and escalate schedule or system-integration risks early.
- Understands construction sequencing and the impact MEP systems have on inspections, occupancy, resident turnover, and project closeout.
- Able to connect information across trades rather than reviewing each MEP system in isolation.
Role Expectation
This position is intended for a hands-on MEP construction professional who can work effectively in both the field and office, coordinate multiple interconnected building systems, and take ownership of project issues from identification through final resolution.
Physical and Work Requirements
- Ability to travel between the office, project sites, vendor locations, and inspection or testing activities as required.
- Ability to walk active construction sites and use required personal protective equipment.
- Ability to support time-sensitive field activities, shutdowns, testing, inspections, and turnover milestones when required.
