Automotive Dealership Assistant Office Manager

Lum's Chevrolet GMC | McMinnville, Oregon

Compensation: $60,000–$72,000 annually, depending on experience

Employment Type: Full-Time

Are you an experienced dealership office professional who knows what it takes to keep the numbers right, the paperwork moving, and the business office running smoothly? Do you enjoy leading a team, solving problems, and being someone dealership management can count on? We may have just the opportunity you're looking for!

Lum's Chevrolet GMC is looking for an experienced Assistant Office Manager to join our team in McMinnville. This is an important leadership role for someone who understands the ins and outs of automotive dealership accounting and enjoys being involved in the day-to-day operation of a busy dealership. You'll work closely with dealership leadership, support and guide office personnel, and help ensure the financial and administrative side of the business stays on track.

You'll work alongside a hands-on leadership team that values direct communication, accountability, and getting things done. We appreciate people who are confident in their abilities, comfortable asking questions, willing to speak up, and able to have honest conversations when challenges arise. This is an environment where people are expected to take ownership, communicate openly, accept feedback, and focus on solutions rather than take things personally.

We're looking for someone who can hit the ground running, take ownership of their responsibilities, and isn't afraid to roll up their sleeves. You'll have the opportunity to make a real impact on how the office operates while helping our team stay organized, accurate, and accountable.

What You'll Be Doing:

• Help lead the daily operations of the dealership business office, keeping workflow organized and priorities on track.

• Lead, train, coach, and support office and accounting team members.

• Oversee accounts payable, accounts receivable, deposits, bank reconciliations, and general ledger activity.

• Review vehicle deals, contracts, funding, and related paperwork to ensure everything is accurate and complete.

• Maintain accurate accounting schedules, financial records, and supporting documentation.

• Prepare and review accounting reports and assist with monthly financial statements and month-end closing.

• Monitor outstanding receivables and follow through on discrepancies and outstanding issues.

• Work with department managers to resolve accounting questions, improve processes, and keep things moving.

• Assist with payroll-related accounting, required reporting, and dealership documentation.

• Help maintain strong internal controls and compliance with applicable financial and regulatory requirements.

• Look for ways to make office processes more efficient, accurate, and organized.

• Step in and provide hands-on support wherever needed to keep the office running smoothly.

• Perform other duties necessary to support dealership operations.

What's in It for You?

We believe good people deserve a good place to work. As part of the Lum Family, you'll enjoy:

• Competitive annual compensation of $60,000–$72,000, depending on experience.

• Medical, dental, and vision insurance.

• Employer-paid portion of employee medical insurance premiums.

• 401(k) retirement plan after one year of employment.

• Paid time off and holidays.

• Employee Demo Program.

• Holiday Savings Plan.

• Employee referral program.

• Employee donation-matching program.

• Paid training and professional development opportunities.

Schedule: Full-time, with schedule based on dealership business needs.

Qualifications

Let's be upfront: This is not an entry-level position. We need someone who already understands automotive dealership accounting and can step into a demanding role with minimal training. General bookkeeping or office management experience alone will not be enough.

What We're Looking For:

• Several years of hands-on automotive dealership office or accounting experience.

• Strong understanding of dealership accounting and business-office operations.

• Experience working with dealership financial statements, reconciliations, and month-end closing.

• Previous experience leading, supervising, or training office or accounting personnel.

• Solid understanding of accounts payable, accounts receivable, deposits, schedules, and general ledger functions.

• Strong attention to detail and a commitment to accuracy.

• Ability to organize, prioritize, and manage multiple deadlines in a fast-paced environment.

• Proficiency in Microsoft Excel and general computer applications.

• Good judgment, initiative, and the ability to work independently.

• Confidence communicating professionally with employees, department managers, and dealership leadership.

• Comfortable working in a fast-paced, direct, and results-oriented environment.

• Able to communicate confidently and professionally with strong personalities and leadership.

• Receptive to constructive feedback and willing to address difficult conversations directly and respectfully.

• Able to remain composed, solutions-focused, and professional when priorities shift or challenges arise.

• Ability to handle confidential financial, customer, and employee information with discretion.

Preferred Experience:

• Experience with Tekion dealership management system (DMS) is a plus.

• Familiarity with manufacturer financial reporting requirements.

Ready to Bring Your Experience to the Lum Family?
