Original job description
Program Coordinator
$53,500–$57,350/year | Health Benefits | PTO | Leadership Opportunity
Legacy Caregivers is an established and highly respected provider agency serving Stark and Summit County. We are currently seeking an experienced, driven, and highly accountable Program Coordinator to oversee operations across multiple residential client sites.
This is not an entry-level management role. This position works directly alongside ownership and executive leadership and is expected to serve as a primary leadership presence and operational go-to within the agency.
We are looking for someone who understands that providing exceptional care and maintaining operational excellence in the DD field requires more than simply “working a shift.” It requires leadership, urgency, accountability, professionalism, and the ability to step in when others cannot.
If you are looking for a predictable “clock out at 5:00 PM no matter what” type of position - this is not the role for you.
Our Program Coordinators are leaders first. When emergencies arise, staffing collapses, incidents occur, or critical client matters need handled, you are one of the primary people the agency relies on. Some days will end at 5 PM. Some will not. The individuals we serve depend on strong leadership, and our management team takes that responsibility seriously.
This position requires flexibility, dedication, strong communication skills, and the ability to remain calm and solution-focused under pressure.
In return, we offer a highly respected leadership role, strong support from ownership, modern systems, competitive pay, and the opportunity to help shape one of the strongest operational teams in the region.
What You’ll Do
- Oversee and supervise multiple residential sites and management teams
- Lead, train, coach, and hold accountable all assigned management-level staff
- Review and approve bi-weekly master schedules
- Respond to operational emergencies and provide leadership support as needed
- Process incident reporting and ensure appropriate administrative follow-up in accordance with DODD regulations
- Conduct routine audits to ensure compliance with agency and state regulations
- Monitor implementation of ISP programming, shift expectations, and site operations
- Conduct planned observations and workflow reviews of assigned sites
- Perform random site visits and maintain a strong field presence
- Conduct orientation and ongoing staff development training
- Assist managers with staffing challenges and coverage coordination
- Step into management roles during absences or operational gaps
- Maintain professional communication with SSA’s, guardians, families, and interdisciplinary teams
- Conduct monthly financial audits and outcome tracking reviews
- Assist in maintaining high standards of professionalism, accountability, and care across all operations
- Communicate hiring and staffing needs with leadership and recruiting departments
- Participate in rotating on-call responsibilities
What We’re Looking For
- Minimum 3 years of verifiable management experience within the Developmental Disabilities field OR Associate’s/Bachelor’s degree plus 1 year of leadership experience
- Strong leadership presence
- Calm and decisive under pressure
- Excellent communication and conflict-resolution skills
- Comfortable managing both behavioral and total-care environments
- Professional, accountable, organized, and proactive
Additional Requirements
- Must possess a valid driver’s license and maintain reliable personal transportation throughout employment
- Must be comfortable using a personal vehicle for work-related travel between sites and office locations
- Must be comfortable working an 8:00 AM–5:00 PM schedule while understanding operational demands may occasionally require additional time beyond scheduled hours
- Must be willing to participate in a rotating on-call schedule
Schedule
- Full-time
- Primarily Monday–Friday
- Typical office hours: 8:00 AM–5:00 PM
- Rotating on-call responsibilities
- This position requires flexibility based on operational, staffing, and client needs
- Candidates must understand that some days and situations may require responsibilities beyond standard scheduled hours
- Leadership presence, responsiveness, and availability during critical situations are essential parts of this role
