Job Title: NEO Trainer (New Employee Orientation Trainer)

Classification: Non-Exempt

Department: Human Resources

Revision Date: 10/30/2026

Reporting Relationships

Reports To: Training Manager

Summary

The NEO Trainer supports new employee orientation, agency-wide training, and employee development at Kittitas Interactive Management (KIM). The position assists with training coordination, instruction, employee communication, Human Resources processes, and maintaining the records necessary to support agency operations and compliance.

KIM Standard of Excellence

The NEO Trainer is expected to demonstrate and reinforce KIM’s three Standards of Excellence through daily training, documentation, and coordination activities:

• Consistency in Care: Support reliable, accurate, and consistent training on KIM procedures and support expectations so employees are prepared to deliver dependable services on every shift, every day.

• Integrity in Operations: Maintain clear, accurate, timely, and compliant documentation; communicate missing records or barriers openly and follow through on corrections using appropriate channels.

• Stability & Growth: Support effective new-hire onboarding, timely training coordination, and organized record systems that help KIM develop staff, strengthen operations, and maintain a stable foundation for growth.

Important expectation - extensive filing and ongoing record maintenance: A significant, recurring portion of this position involves high-volume filing and organizing, reviewing, and updating employee personnel, confidential, and training records. Files must remain accurate, complete, secure, and current as new documents arrive or employee information changes. This is a core responsibility of the NEO Trainer role, not an occasional administrative assignment.

The NEO Trainer carries out these responsibilities in support of KIM’s 2026 Standard of Excellence: Consistency in Care, Integrity in Operations, and Stability & Growth.

Essential Duties and Responsibilities

Records Management, Filing, and Documentation - Core Ongoing Responsibility

• Complete frequent, high-volume filing of employee documentation, including orientation, training, personnel, and other required records; organize materials so they are accurate and readily retrievable by authorized staff.

• Maintain employee personnel and confidential files in accordance with KIM policies, applicable requirements, and established confidentiality and information-security practices.

• Keep records updated on an ongoing basis. Add and file new documents, record changes promptly, and verify that updated information is placed in the appropriate employee file.

• Regularly review files for missing, incomplete, outdated, duplicate, or incorrectly filed documentation, and communicate with the appropriate staff or departments to obtain updates or corrections needed.

• Maintain and communicate records and documentation required by regulatory bodies and authorized agency departments, including relevant employment and training records, personnel policies, applications, job descriptions, and compliance materials.

• Handle repetitive, detail-intensive recordkeeping and administrative tasks while meeting deadlines and protecting sensitive employee information.

Training, Orientation, and Employee Development

• Assist in organizing and delivering necessary training for new hires, including Orientation & Safety, Peer Coaching, the 1163 Residential Curriculum, Therap, Right Response, and Community Protection Training.

• Support agency-wide training in a timely, professional manner while monitoring required deadlines and training expectations.

• Coordinate training schedules based on hiring activity and agency training needs, including communicating scheduling changes and emergent situations.

• Assist with training outlines, learning materials, and instructional methods, such as individual coaching, group instruction, lectures, demonstrations, meetings, and workshops.

• Monitor and report employee progress during training periods and communicate follow-up needs to appropriate leadership.

• Assist in evaluating and improving new employee orientation and related training processes.

Human Resources Support, Communication, and Collaboration

• Assist the HR team with communications about employment and training policies, processes, and applicable regulatory requirements.

• Listen and respond promptly and respectfully to employee questions, concerns, and suggestions, providing clear, complete, and factual information within the scope of the role.

• Maintain regular communication with the Training Manager and HR leadership about training activities, documentation issues, improvement opportunities, and department needs.

• Collaborate professionally with managers, supervisors, employees, and other agency departments; reinforce KIM’s organizational culture and values.

• Support workflow and process improvements that increase the consistency, responsiveness, and efficiency of employee services.

• Manage multiple priorities and deadlines, adapt to changing agency policies and procedures, and contribute to annual program descriptions and evaluations as assigned.

• Maintain professionalism, ethical conduct, and confidentiality in oral, written, and in-person interactions.

Additional Operational Responsibilities

• Tier 3 Ready Squad & Mandatory Home Coverage Deployment: Participate in the scheduled Ready Squad rotation in a waiting-to-be-engaged status pursuant to SOP-SCH-002; maintain operational availability to execute physical deployment and on-site relief across agency-supported living homes to satisfy mandatory Home Coverage requirements, mitigate staff fatigue under SOP-HR-018, and resolve critical shift vacancies when Tier 1 and Tier 2 cascades are exhausted.

• Perform other duties as assigned.

Location: This position requires flexibility to perform duties at both our Yakima and Ellensburg offices on a variable basis dependent on business needs.

Pay: $19.00/hour (+$1/hour when trainer receives "i" code through state)

  • Bachelor’s degree desired but not required.
  • Minimum of 1–2 years of HR experience; 1–2 years in a training function preferred.
  • Experience maintaining confidential employee records, completing high-volume filing, or performing detail-intensive administrative work preferred.
  • Ability to work with minimal supervision, prioritize competing demands, and adapt to a fast-changing environment.

Intent and Function of Job Descriptions

Job descriptions assist organizations in ensuring that the hiring process is fairly administered and that qualified employees are selected. They are also essential to an effective appraisal system and related promotion, transfer, layoff, and termination decisions. Well-constructed job descriptions are an integral part of any effective compensation system. All descriptions have been reviewed to ensure that only essential functions and basic duties have been included. Peripheral tasks, only incidentally related to each position, have been excluded. Requirements, skills, and abilities included have been determined to be the minimal standards required to successfully perform the positions. In no instance, however, should the duties, responsibilities, and requirements delineated be interpreted as all-inclusive. Additional functions and requirements may be assigned by management as deemed appropriate.

In accordance with the Americans with Disabilities Act, it is possible that requirements may be modified to reasonably accommodate disabled individuals. However, no accommodations will be made which may pose serious health or safety risks to the employee or others or which impose undue hardships on the organization.

Job descriptions are not intended as and do not create employment contracts. The organization maintains its status as an at-will employer. Employees can be terminated for any reason not prohibited by law.
