In this role, you’ll work closely with leadership and serve as a trusted administrative partner, managing priorities, coordinating schedules and meetings, preparing information and reports, and helping ensure day-to-day activities run efficiently. You’ll interact with employees and leaders across the organization as well as external partners, so strong judgment, professionalism, and discretion are essential.
The ideal candidate is someone who anticipates needs, follows through, pays attention to the details, and can confidently manage multiple priorities with minimal direction.
What You’ll Do
- Provide high-level administrative support to management and help coordinate day-to-day priorities.
- Manage complex calendars, appointments, meetings, and scheduling, using good judgment to prioritize competing demands.
- Coordinate meetings, including scheduling, logistics, materials, communications, and follow-up.
- Make domestic and, as needed, international travel arrangements.
- Coordinate and support employee engagement events, activities, meetings, celebrations, and other site initiatives, including scheduling, communications, logistics, materials, and day-of-event support.
- Partner with HR, leadership, and other teams to help plan and execute activities that support employee engagement and a positive workplace culture.
- Monitor correspondence and requests, identify items requiring attention, and ensure important information reaches the appropriate person.
- Track delegated assignments and follow up on open items to help keep commitments and priorities on schedule.
- Respond professionally to questions and requests from employees, leaders, and external contacts.
- Prepare and maintain documents, presentations, reports, spreadsheets, databases, and other business information.
- Compile and organize financial, statistical, technical, legal, or other detailed information with a high degree of accuracy.
- Conduct research and gather information from multiple sources to support meetings, reports, departmental projects, and leadership requests.
- Partner with administrative and executive-level colleagues across the organization to coordinate activities and solve scheduling or logistical challenges.
- Handle confidential and sensitive information with appropriate discretion.
- Perform other related duties as assigned.
What You Bring
Required Qualifications
- High school diploma or equivalent, with additional business, administrative, technical, or college training preferred.
- 5+ years of administrative experience, ideally supporting managers or senior leaders in a professional or operational environment.
- Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently, take initiative, and exercise sound judgment.
- Professional interpersonal skills with the ability to work effectively with employees and leaders at all levels of the organization.
- Demonstrated ability to handle confidential or sensitive information appropriately.
- Comfortable learning and working with various business systems and software applications.
You'll Be a Great Fit If You...
- Are known for being organized, dependable, and one step ahead.
- Enjoy bringing structure to a busy environment.
- Can distinguish between what is urgent, what is important, and what can wait.
