We are seeking a highly organized and proactive Human Resources Coordinator to support recruiting, employee onboarding, training, and HR operations within a fast-paced, fully remote environment. In this role, you will oversee the hiring pipeline, ensuring candidates move efficiently through each stage of the recruitment process, from initial application to final offer. You will also coordinate onboarding activities, maintain accurate employee records, and help implement training and development initiatives across the team. Working closely with senior leadership, you will contribute to performance management, HR compliance, and the continuous improvement of internal processes. This position requires strong attention to detail, independent problem-solving, and excellent communication skills. It is an exciting opportunity to make a meaningful contribution to a growing organization while developing your HR expertise in a flexible, collaborative environment.

Accountabilities:

  • Recruiting and Hiring
  • Create, publish, and regularly update job advertisements across relevant recruitment platforms and job boards.
  • Review resumes and applications, identify qualified candidates, and assess their suitability for available positions.
  • Manage the full recruitment coordination process, ensuring candidates progress efficiently from application through screening, interviews, and offers.
  • Maintain an accurate and up-to-date applicant tracking pipeline by reviewing, categorizing, advancing, and declining candidates consistently.
  • Conduct preliminary video interviews for client-facing positions, evaluating candidates' professional presentation, communication skills, and overall suitability.
  • Assess candidates against the organization's key industry areas, including fashion, beauty, lifestyle, and wellness.
  • Distribute written assessments to shortlisted candidates, monitor deadlines, and follow up to ensure timely completion.
  • Organize candidate assessments and interview notes for leadership review ahead of final interviews.
  • Coordinate interviews with Directors and the CEO, keeping candidates informed throughout the recruitment process.
  • Prepare employment offer letters and manage electronic signature procedures.
  • Proactively source potential candidates for current and upcoming vacancies.
  • Develop job descriptions and interview questions for new or evolving positions.
  • Onboarding and Employee Administration
  • Coordinate new employee onboarding and ensure all required documentation and onboarding forms are completed and properly filed.
  • Manage new hire paperwork, workers' compensation setup, and acknowledgment of employee manuals and internal policies.
  • Register new employees in ADP RUN and coordinate with payroll teams to ensure employee records, documentation, and signatures are processed accurately.
  • Maintain organized and up-to-date personnel files, ensuring employee information remains accurate and confidential.
  • Training and Development
  • Schedule and coordinate internal training sessions, assigning relevant programs to appropriate team members.
  • Help develop structured training pathways for different positions, supporting employees from initial onboarding through professional advancement.
  • Monitor training participation and completion, following up on outstanding assignments and requirements.
  • Support continuous employee development by helping improve training processes and internal learning resources.
  • Performance Management and Compliance
  • Assist with annual performance reviews by coordinating schedules, preparing review materials, and tracking completion.
  • Support compliance with applicable federal, state, and local employment regulations across a geographically distributed workforce.
  • Ensure employee documentation and HR records are maintained securely and accurately in ADP RUN and internal systems.
  • Handle sensitive employee information with discretion and maintain appropriate confidentiality standards.
  • Reporting and Communication
  • Provide regular weekly check-in and check-out updates outlining planned activities, completed tasks, and outstanding priorities.
  • Maintain clear communication with leadership regarding recruitment progress, onboarding activities, training completion, and HR operations.
  • Identify administrative gaps and recommend improvements to strengthen HR processes and organizational efficiency.

Requirements:

  • 1–3 years of professional experience in Human Resources, recruitment, talent acquisition, or hiring coordination.
  • Strong resume screening and candidate evaluation skills, with the ability to quickly identify relevant qualifications and promising talent.
  • Demonstrated experience managing high volumes of applications and coordinating candidates through multiple stages of a recruitment pipeline.
  • Experience using ADP RUN for payroll administration and employee record management is strongly preferred.
  • Working knowledge of US employment regulations and HR compliance requirements, particularly those applicable to remote employees across multiple states.
  • Experience coordinating employee onboarding, managing personnel documentation, and supporting annual performance reviews.
  • Previous experience developing, organizing, or administering employee training and development programs.
  • Excellent written and verbal communication skills, with the ability to interact professionally with candidates, employees, managers, and senior leadership.
  • Strong organizational and time-management skills, with exceptional attention to detail and the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal skills, sound judgment, and the ability to handle confidential employee and candidate information responsibly.
  • Comfortable learning and using new HR information systems, recruitment platforms, training tools, and project management software.
  • Ability to work independently, demonstrate initiative, and consistently follow through on assigned responsibilities.
  • Adaptability and resilience when working in a dynamic, multifaceted, and fast-paced environment.
  • A proactive, reliable, and solutions-oriented approach, with a strong commitment to accuracy and operational efficiency.

  • Opportunity for professional growth and career advancement.
  • Direct collaboration with senior leadership, including reporting to the CEO.
