ABOUT INSPECTED

Inspected is a fast-growing, tech-enabled platform revolutionizing remote inspections and permitting for the construction industry. We serve homebuilders, HVAC, solar, roofing, pool, and commercial and residential contractors across Florida, Texas, and Tennessee - with new markets coming soon. We are one of South Florida’s fastest-growing companies with 100% growth for three consecutive years. Our proprietary platform, Permit Hub, is transforming a process that once took months into one that takes days. This is a high-energy, high-growth environment where every team member makes a real and visible impact on our customers and our mission.POSITION SUMMARY The Permit Billing Coordinator keeps the financial side of Inspected’s permitting operation accurate, timely, and easy for contractors to understand. This role manages billing for permit-related fees and services, reconciles permit and municipal fees tied to projects on the Inspected platform, and serves as the primary contact for customer permitting invoice questions - working hand in hand with the Permitting and Accounting teams. The right person is detail-oriented, organized, and comfortable owning a process end to end - someone who catches the mismatch before it becomes a dispute, communicates clearly and courteously with contractors, and keeps clean records so leadership always knows where permit revenue and fees stand.WHAT YOU’LL DO Core duties and responsibilities include the following. Other duties may be assigned. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions. Permit Billing & Invoicing

  • Prepare and issue accurate, timely invoices for permit fees and related services for contractors and accounts on the Inspected platform
  • Verify billing against permit records in Permit Hub, including permit type, jurisdiction, fee schedules, and project status
  • Reconcile permit and municipal fees paid or advanced on behalf of contractors, and resolve discrepancies with Permitting and Accounting
  • Process credits, adjustments, and corrections promptly, with clear documentation

Invoice Support & Customer Communication

  • Serve as the primary point of contact for customer permitting invoice questions and disputes, working with Customer Service and Permitting to reach a fast, fair resolution
  • Partner with Accounting, which manages collections, by providing invoice details and customer context when past-due balances need follow-up
  • Flag recurring billing issues and process gaps to leadership

Reporting, Records & Process Improvement

  • Maintain accurate, complete, and organized billing records and supporting documentation for audit and reporting purposes
  • Prepare regular billing and fee reconciliation reports for Permitting leadership and Accounting
  • Partner with Permit Coordinators to make sure fee information is captured correctly at submission so billing is right the first time
  • Identify and recommend improvements to billing workflows, templates, and automation as the permitting team grows into new markets
