Position Summary

The Media Coordinator is an entry-level position that supports the Media team with billing, budget tracking, campaign management, reporting, and day-to-day account coordination. Working closely with experienced Media Buyers, this role provides an opportunity to develop foundational skills in media planning and buying while gaining hands-on experience with industry tools, platforms, and processes.

The ideal candidate is detail-oriented, organized, proactive, and eager to learn. Success in this role requires strong attention to detail, the ability to manage multiple priorities, and a willingness to collaborate with team members to support the execution of successful media campaigns.

This position offers opportunities for professional growth and development, with the potential to advance into a Media Buyer role as skills and experience develop.

Position Responsibilities

Budget and Billing

  • Process support - support the end-to-end billing process, including order setup and billing summary management and fluency.
  • Maintenance - maintain media budget spreadsheets as directed, ensuring billing summaries are updated to reflect the most recent changes.
  • Proactive troubleshooting - bring solutions, not just problems, forward when something doesn't match - flag it early and suggest a fix.

Buying (Execution Under Buyer Direction)

  • Platform setups - execute platform setup tasks per documented campaign setup guides; help keep that documentation fresh and consistent.
  • Pixel and tracking awareness - understand what is being tracked on supported accounts and how it relates to campaign setup.
  • UTM and GA4 - maintain tracking consistency per the structure the Buyer has established.
  • SLDs - keep SLDs up to date on supported accounts.
  • Quality control - QC your own work before it goes to the Buyer - spell-check, incorporate prior feedback, and verify accuracy.
  • Optimizations - maintain optimization tracking documents/lists as directed, and test using AI to support recommendations based on what the data shows.

Reporting

  • Support report production using established templates - avoid simply changing numbers without adding a fresh read on what they mean.
  • Suggest dashboards or visuals that would make reporting clearer, and ask when unsure what would help.
  • Use raw data exports and AI tools, as directed, to help support narrative-building; keep reporting fresh rather than repetitive.

Communication

  • Communicate proactively with internal teams (Business Services, Buyer, Client Services) and vendors.
  • Surface challenges or roadblocks immediately rather than letting them sit.
  • Default to a call or Teams conversation over a long back-and-forth in Slack or email when troubleshooting.
  • Bring concise, clear updates - and, where possible, an initial read on the issue.

Growth and Scope

  • Learn and follow established departmental processes and tools; build fluency in the internal tool kit.
  • Work within the specific, written scope of ownership the assigned Buyer has defined for each supported account, and proactively ask for that scope to expand as skills develop.
  • Complete structured onboarding covering agency background and department processes and expectations, followed by account-specific training handed off by the assigned Buyer.

Essential Skills and Experience

  • Bachelor's degree in marketing, advertising, communications, or related field preferred; equivalent internship or coursework experience considered
  • 0–2 years of professional experience (entry-level; media or advertising internship experience a plus)
  • Strong attention to detail and organizational skills
  • Basic familiarity with digital advertising platforms, or demonstrated willingness to learn quickly
  • Clear, professional written and verbal communication
  • Comfortable receiving direction and feedback, and proactive about asking questions
  • Willingness to learn AI-assisted workflows for reporting and optimization support

Benefits

  • Health, dental, and vision insurance
  • 401(k) with matching
  • Hybrid + remote options
  • Open PTO
  • Phone stipend
  • Professional development
