Original job description

The Workplace Services Associate is a hands-on operational member of the Workplace Services team responsible for daily workplace readiness, employee service delivery, room and furniture setups, breakroom and beverage operations, workplace inspections, inventory, assigned service requests, and routine operational documentation. The role combines physical workplace support with workplace readiness and quality assurance, technology, professional communication, documentation, operational controls, and follow-through needed to independently complete assigned work within established procedures. The Associate reports directly to the Workplace Services Manager and may provide operational support to approved Workplace Experience initiatives within an agreed scope of work.

Your day to day Workplace Readiness and Quality Assurance

  • Perform structured workplace-readiness inspections of common areas, conference and training rooms, collaboration spaces, breakrooms, food and beverage areas, storage areas, workspaces, and other designated Workplace Services areas.
  • Verify assigned spaces are presentable, appropriately reset, supplied, and ready for normal business use or an approved meeting, event, or activation.
  • Document observed deficiencies using clear notes, checklists, and photos when appropriate.
  • Create or update the appropriate Eptura or Cove service request when an identified condition requires tracking, corrective action, or support from another service function.
  • Track routine corrective actions within scope and perform closure verification to confirm the identified condition has been resolved.
  • Maintain routine readiness inspection records, checklists, service logs, and other operational documentation as assigned.
  • Identify recurring workplace conditions or service issues and provide basic trend or status information to the Workplace Services Manager for follow-up.

Work Orders and Service Requests

  • Use CMMS systems to accept, update, document, and complete assigned Workplace Services tickets.
  • Create a service request for real-time employee requests when tracking is required and the request is within the Associate's scope.
  • Use the building Cove work order system to submit, track, and follow up on building-related requests within scope.
  • Provide clear status and completion notes; follow routine requests through closure; and escalate technical, management, vendor, expenditure, safety, or scope-related matters appropriately.

Conference, Training Room, Event and Activation Support

  • Execute approved conference room, training room, meeting, event, and activation configurations based on requirements provided through the established Workplace Services process.
  • Set up and reset tables, chairs, mobile whiteboards, easels, signage, power accessories, and other approved workplace materials.
  • Support event breakdown and restoration of spaces following use, including approved first-floor lobby activations.
  • Communicate setup issues, missing resources, or conditions that may affect an approved reservation to the appropriate Workplace Services team member.

Furniture, Workspace and Internal Move Support

  • Complete routine furniture moves, workstation changes, and small internal employee relocations within established scope and safety expectations.
  • Support routine installation, adjustment, placement, or movement of workplace items such as chairs, mobile storage, monitor arms, keyboard trays, small furniture, and related equipment when trained and approved.
  • Use carts, dollies, and other approved material-handling equipment safely.
  • Escalate larger, heavier, or more complex furniture moves and relocations for handling through the company's contracted moving service.

Breakroom, Beverage and Supply Operations

  • Perform routine readiness checks of coffee, Bevi, cold-brew, water, and other supported beverage equipment.
  • Perform basic troubleshooting and routine cleaning within training and established procedures; report or escalate equipment issues requiring technical or vendor support.
  • Inventory, Operational Controls and Reporting
  • Conduct routine inventory counts and maintain accurate inventory trackers, service logs, inspection records, and operational documentation.
  • Monitor established stock/par levels and communicate shortages, replenishment needs, or unusual usage trends to the appropriate program owner.
  • Maintain Workplace Services storage areas in an organized, safe, and service-ready condition.
  • Create and update basic operational documents, readiness checklists, trackers, instructions, and routine status reports as assigned.
  • Identify recurring service conditions or operational trends and provide basic status information to management; the role does not own management reporting or analytics.

Workplace Services Inbox and Team Coverage

  • Serve as one of multiple trained backup resources for Workplace Services inbox triage when the primary triage resource is unavailable.
  • During backup coverage, review incoming requests, acknowledge or respond to routine inquiries within established guidelines, route requests appropriately, and create tracked work requests when required and within scope.
  • Provide backup coverage for the Workplace Services Day Porter during PTO and other absences, including routine hands-on workplace operations within the Associate's training and scope.
  • Provide limited backup support for select routine HQ access and safety tasks normally handled by the Workplace Services Specialist, such as badge creation and small access/safety-related work-order requests, when trained, authorized, and needed for coverage.
  • Provide operational assistance to approved Workplace Experience initiatives without assuming ownership of the program, reservation process, or administrative function.

Technology and Communication Requirements

  • Working proficiency with CMMS related work order systems for routine service-request activity.
  • Proficiency with Microsoft Outlook and Teams for professional communication and team coordination.
  • Basic proficiency with Microsoft Word for routine operational documents and Microsoft Excel for inventory, logs, trackers, and basic data entry.
  • Ability to access, maintain, and update routine Workplace Services documents and shared files in SharePoint.
  • Effective written and verbal English communication skills sufficient to understand service requests, communicate with employees, document work, and use workplace systems accurately.
  • Ability to learn and independently navigate workplace technology used for communication, service requests, documentation, and tracking.
