Original job description

Operations Associate

About Hebrew Public

Hebrew Public is a small and growing network of schools operated by Hebrew Public: Charter Schools for Global Citizens. Hebrew Public is a secular organization that welcomes candidates of all backgrounds into a supportive and inclusive community.

Across the network, Hebrew Public schools serve children from all backgrounds and help students become global citizens who are strong problem solvers, aware communicators, and lifelong learners committed to making a positive difference in the world around them. Our schools are models of racial and economic integration, academic excellence, and world language learning.

Why PHP?

As part of Hebrew Public, Philadelphia Hebrew Public teachers and staff have the opportunity to bring that mission to life with students from over 37 zip codes across Philadelphia, primarily Black and Brown students whose brilliance, curiosity, and potential drive our work every day.

PHP is rooted in the belief that all students deserve rigorous academics, strong relationships, and access to a globally minded education that expands what they see as possible for themselves. Every member of our team plays a role in making that vision possible.

For our operations team, that means creating a school environment where students and families feel welcomed, respected, and supported. From the first phone call to the daily interactions at our front desk, the way we communicate, respond, and care for families helps build the trust and relationships that are essential to a thriving school community.

You don't need to speak Hebrew to apply, and we strongly encourage candidates from traditionally underrepresented groups to join our community.

The Opportunity

The Operations Associate is the welcoming face of Philadelphia Hebrew Public and the first point of contact for families, students, staff, and visitors.

As the school's primary receptionist, you will manage the front desk, answer calls, respond to family questions, and connect families with information and resources. This is a fast-paced, people-facing role for someone who enjoys the energy of a busy school office, learns quickly, and adapts easily to changing priorities.

You will also support the operations team with student enrollment records, PowerSchool data entry, attendance initiatives, school events, office purchasing, staff requests, and new-hire onboarding.

Reporting to the Operations Manager, the ideal candidate is dependable, organized, empathetic, and committed to providing excellent service while keeping daily administrative work running smoothly.

Who You Are

High school diploma or GED required; Associate’s Degree preferred.
3-5 years of experience in reception, customer service, or administrative support in a charter school setting is preferred.
Empathetic, patient, and culturally aware, with an understanding of the diverse experiences and needs of families in an urban school community.
Strong written and verbal communication skills in English, excellent interpersonal skills, and a genuine commitment to providing outstanding customer service to families, students, and staff.
Highly organized and detail-oriented, with the ability to maintain accurate records, manage information, and follow through independently on tasks.
Demonstrates professionalism and sound judgment, maintaining a positive and solutions-oriented approach even in challenging situations.
Collaborative, approachable, and receptive to direction and feedback, with the ability to build positive working relationships across the school community.
Comfortable using Google Workspace, Microsoft Office, and spreadsheets; willing to learn PowerSchool and other school systems.
Ability to maintain confidentiality and obtain required Pennsylvania school employment clearances, including PA State Police Criminal History, PA Child Abuse History, and FBI fingerprint-based background checks.

Professional Responsibilities

Front Desk & Family Engagement

Serve as the school's primary receptionist, warmly welcoming families, students, staff, and visitors.
Answer incoming calls, respond to inquiries, and direct families to appropriate staff and resources.
Stay informed about school events, schedules, and procedures to provide accurate information.
Build positive family relationships through respectful, empathetic, and responsive communication.
Maintain an organized front office and follow visitor check-in and school safety procedures.

Administrative & Operations Support

Create and maintain student enrollment files, supporting documentation and Pennsylvania public charter school compliance requirements.
Enter and update student information in PowerSchool, spreadsheets, and operational trackers.
Support attendance tracking, documentation, and family follow-up in accordance with school procedures and Pennsylvania attendance requirements.
Assist with school events, family engagement activities, office purchasing, and inventory.
Respond to staff requests for supplies and administrative support.
Help prepare for new-hire onboarding, including system entry and required documentation.
Complete additional administrative tasks and projects as assigned by the operations team.

General Professional Expectations

Model Hebrew Public's OLAM values: outstanding problem solving, continuous learning, making a difference, and intentional communication.
Demonstrate professionalism, reliability, flexibility, and a team-first approach.
Follow direction, welcome feedback, communicate proactively, and protect confidential information in accordance with school policies and FERPA.

Benefits

Starting salaries range from $30,000 to $38,000, based on experience and qualifications.
