We pioneered the LPU - the first processor designed specifically for AI inference - and are transforming that innovation into a global cloud platform powering production AI workloads. With the capital, infrastructure, and team to execute, we're uniquely positioned to define the next era of AI infrastructure. The opportunity is massive, and it's still wide open. Now let's go build it!

Mission:

As Groq continues to grow, we're looking for an Office Manager to help launch our new Palo Alto office and create an exceptional workplace experience for our team. You'll play a key role in getting the office ready for employees, coordinating workplace setup, vendors, IT readiness, and move-in logistics to support a smooth and timely opening. Once operational, you'll own day-to-day workplace operations, creating a welcoming, organized, and engaging environment where employees, leaders, and visitors can do their best work. This is a hands-on, highly visible role for someone who takes initiative, moves with urgency, and thrives on creating great workplaces. You'll bring the details together, anticipate needs, and establish a reliable, high-quality workplace experience that reflects Groq's culture and supports our growing team.

Location:

Palo Alto / San Francisco Peninsula, CA (Onsite)

Responsibilities & opportunities in this role:

Coordinate office opening and readiness:

Partner with Workplace, IT, Procurement, Security, and external vendors to prepare the Palo Alto office for employees, coordinating essential setup activities and ensuring a smooth, timely opening.

Drive workplace setup and move-in:

Coordinate office supplies, equipment, technology readiness, vendor services, and employee move-in logistics to create a fully operational and welcoming workspace.

Own daily workplace operations:

Manage the day-to-day functioning of the office, including facilities requests, maintenance coordination, office supplies, kitchen stocking, and overall workplace readiness.

Manage building and vendor relationships:

Serve as the primary onsite point of contact for property management, building services, facilities vendors, and other service providers, ensuring responsive and reliable support.

Deliver an exceptional workplace and visitor experience:

Create a welcoming, polished, and well-organized environment for employees, executives, and visitors, ensuring workplace services and shared spaces consistently meet high standards.

Support executive-facing workplace needs:

Anticipate and coordinate workplace logistics for leadership meetings, executive visits, and important onsite gatherings, partnering with relevant teams to ensure a seamless experience.

Coordinate onsite events and engagement:

Partner with People and other teams to organize office gatherings, celebrations, employee engagement activities, and experiences that strengthen the Palo Alto workplace community.

Support employee onboarding and visitors:

Collaborate with People, IT, and other teams to help new employees and visitors navigate the office, access workplace resources, and feel welcomed.

Establish effective workplace processes:

Develop and maintain office procedures, vendor information, supply management practices, and operational documentation to support reliable, scalable operations.

Anticipate and resolve workplace needs:

Proactively identify facilities issues, employee needs, and operational gaps, taking ownership of solutions to keep the office running smoothly.

Continuously improve the workplace:

Gather employee feedback, identify opportunities to enhance workplace services and experiences, and implement practical improvements as the Palo Alto team grows.

Ideal candidates have/are:

4–6 years of experience in office management, workplace operations, facilities coordination, employee experience, or a related role. Experience independently managing day-to-day office operations in a fast-paced or growing organization. Strong organizational and project coordination skills, with the ability to manage multiple priorities, vendors, and timelines while moving quickly and maintaining attention to detail. Experience coordinating office openings, relocations, or workplace setup projects is a plus, but not required. Experience managing vendor relationships, coordinating facilities services, and maintaining a welcoming, well-functioning office environment. Experience organizing employee events, team gatherings, or workplace engagement activities. A strong hospitality and service mindset, with experience supporting executives, visitors, or high-visibility workplace environments. Excellent interpersonal and communication skills, with sound judgment, professionalism, and discretion when interacting with employees, executives, and external guests. A genuine passion for employee experience and creating workplaces where people feel connected, supported, and productive. A proactive, resourceful, and solutions-oriented approach, with the ability to anticipate needs, take initiative, and independently drive work forward. Adaptability and comfort navigating ambiguity, changing priorities, and a fast-moving environment.
