Position Summary Reporting to the Executive Director, Ethical and Applied AI Hub, the Program and Operations Manager serves as the operational backbone of the Ethical and Applied AI Hub.
The role runs the systems that make the Hub work day-to-day: events and convenings, community programming logistics, partner and affiliate rosters, budget and grant administration, communications logistics, and support for the Hub’s governance and reporting cycles.
This position helps build a signature university initiative from the ground up, turning ambitious plans into reliably executed programs. The role also works daily with Hub leadership, AI Hub Fellows, community partners, CoLab (co)chairs, faculty and student affiliates, and partner staff across Fordham’s schools and administrative units.
Essential Functions Ensures smooth day-to-day operations of the Hub, including managing contractors and other team members as needed. Schedules and supports meetings of the Hub’s leadership, advisory, and steering structures; prepares agendas and maintains minutes and action-item tracking.
Plans and executes the Hub’s calendar of events, including but not limited to convenings and executive roundtables on responsible AI governance; workforce credentialing and upskilling workshops; interdisciplinary, problem-based research and discovery showcases and startup programming; community and small-business training sessions and K-12 educator programs; CoLab convenings, and annual Hub summits. Oversees space, technology, catering, vendor management, speaker and attendee logistics, registration, promotion, and evaluation. Maintains the Hub’s master calendar of events and programs.
Administers the Hub’s affiliated partner, faculty, fellow, and student intake: processes applications, coordinates vetting with the Executive Director, University leadership, and CoLab (co)chairs; creates and maintains affiliate web profiles and rosters; manages affiliate and CoLab mailing lists and communication channels. Supports program partners and CoLab (co)chairs with meeting scheduling, materials preparation, impact tracking, and annual reviews and outcomes reporting.
Serves as the Hub’s day-to-day point of contact for participants and partner organizations in pillar programming outside the CoLab structure, including workforce and credentialing partners (e.g., Coursera), applied-research and startup collaborators, community organizations, chambers of commerce, and governance and policy contacts. Works with the Executive Director, faculty, AI Hub Fellows, and technical partners to coordinate delivery of technology skill-development programs and applied AI initiatives. Coordinates logistics for assessments, workshops, and consultations across pillars, and collects participation data to support pillar-level outcome and impact reporting.
Tracks Hub and CoLab budgets, processes invoices and reimbursements, and maintains spending records. Supports compliance and reporting for the Hub’s public funding from New York State and NYCEDC by gathering program data, maintaining metrics dashboards (enrollments, completions, participants, community reach, partner engagements), and preparing reporting drafts for the Executive Director.
In coordination with University and Gabelli School communications teams, maintains the Hub’s webpages, drafts newsletters and event announcements, keeps program and people content current, and assembles materials, including but not limited to slides, one-pagers, photos, and program summaries tailored to funder, partner, and campus audiences.
