Original job description
Job Description Summary:
The IT Asset Manager is the hands-on owner of the enterprise IT Asset Management capability across hardware and software lifecycles. The role is accountable for HAM and SAM operating practices, controls, governance, data quality, financial accuracy, license compliance, and audit-ready evidence. This is an ITAM leadership role, not a ServiceNow administrator role; however, the manager must already be proficient in ServiceNow and able to independently use Hardware Asset Management and Software Asset Management capabilities without foundational platform training. The manager partners across Infrastructure, Security, Finance, Procurement, Service Desk, Legal and Compliance, application owners, and vendors to improve inventory accuracy, recovery, reuse, disposal, entitlement management, software reclamation, and cost control.
Job Description:
Primary Responsibilities
- Define and run the enterprise ITAM operating model across request, procurement, receiving, inventory, deployment, transfer, maintenance, recovery, reuse, retirement, disposal, and financial reconciliation.
- Own hardware standards and controls for stockrooms, receiving, tagging, assignment, custody, transfer, refresh, recovery, reuse, retirement, disposal evidence, and asset-to-CI alignment.
- Establish software asset management practices for normalization, contracts, entitlements, installations, usage, effective license position, reclamation, renewals, compliance, and publisher audit response.
- Operate ServiceNow HAM and SAM workspaces and processes as the business and operational owner, including asset records, models, stockrooms, contracts, entitlements, normalization, reconciliation, reclamation, dashboards, and exception queues.
- Translate ITAM requirements into clear ServiceNow process and configuration requirements, validate designs, lead acceptance testing, and partner with platform administrators or developers when technical changes are required.
- Set measurable targets for inventory accuracy, ownership, lifecycle, financial fields, duplicates, missing assets, stale assignments, normalization, and reconciliation.
- Partner with Procurement and Finance on purchase orders, invoices, contracts, cost centers, depreciation, chargeback, warranties, renewals, and disposal data.
- Embed asset controls into Request, Incident, Change, onboarding, offboarding, break/fix, transfers, projects, acquisitions, and decommissioning.
- Maintain procedures, chain-of-custody records, disposal certificates, exception registers, reconciliation evidence, and audit reporting.
- Manage data and control obligations for resellers, publishers, disposal vendors, managed service providers, and implementation partners.
- Create SOPs, runbooks, data dictionaries, role definitions, training, and knowledge that allow the ITAM practice to scale.
Success Measures
- Improved hardware inventory accuracy, ownership, custody, and lifecycle accountability.
- Measurable improvement in asset recovery, reuse, stockroom reconciliation, and disposal evidence.
- Improved software entitlement, installation, usage, reclamation, renewal, and compliance visibility.
- Reduction in duplicate, stale, incomplete, unnormalized, and unreconciled asset records.
- Consistent adoption of ServiceNow HAM and SAM processes, workspaces, dashboards, and exception remediation.
- Documented controls and evidence supporting audit, licensing, security, financial requirements, and accountable governance.
Basic Qualifications
Required
- 7+ years of experience in IT asset management, software asset management, hardware lifecycle management, procurement, finance operations, IT service management, or a related discipline.
- Demonstrated experience establishing or improving ITAM operating practices in a complex enterprise environment.
- Deep practical knowledge of hardware lifecycle controls, including procurement, receiving, inventory, assignment, transfer, recovery, reuse, retirement, disposal, and reconciliation.
- Deep practical knowledge of software asset and license management, including contracts, entitlements, installations, usage, effective license position, reclamation, compliance, renewals, and audit support.
- Demonstrated hands-on experience using ServiceNow Hardware Asset Management and Software Asset Management to perform and govern day-to-day ITAM work. The successful candidate must be able to work independently in the platform without foundational ServiceNow training.
- ServiceNow Certified System Administrator (CSA).
- Ability to translate ITAM business and control requirements into ServiceNow process, data, reporting, and configuration requirements while partnering effectively with platform technical teams.
- Ability to define policy, process, controls, RACI, standards, KPIs, dashboards, exception handling, and remediation plans.
- Strong analytical, financial, facilitation, documentation, executive communication, and vendor-management skills.
- Bachelor's degree in information technology, business, finance, operations, or a related field, or equivalent experience.
Preferred
- ServiceNow Certified Implementation Specialist in Hardware Asset Management or Software Asset Management.
- ITIL 4 Foundation or higher.
- IAITAM, FinOps, ISO/IEC 19770, or comparable ITAM credential or practical experience.
- Experience in financial services, regulated environments, mergers and acquisitions, or distributed operating models.
- Experience with endpoint, procurement, reseller, financial, contract, and software-usage integrations.
- Experience leading HAM or SAM implementations, process maturity initiatives, data remediation, or licensing optimization programs.
