Original job description
About Flatpay Flatpay is not just another payment solution; we're dedicated to innovating the market for payment solutions and financial services in the SME segment with our customer-centric and transparent services. We've grown into one of the fastest-growing fintech companies out of the Nordics and Denmark's fastest unicorn company. Today, we're more than 2,000 colleagues across Europe, building products that make a real difference for our customers. We're now launching in the US and are looking for the first people to join our rocket ship out of New York! We're ambitious, move fast, and like to challenge the status quo – but we also believe work should be fun. We celebrate wins, help each other out, and create an environment where people can do great work while genuinely enjoying the journey. What you'll do We're looking for an experienced Payroll Specialist to take ownership of payroll for our new US entity. As one of our first US hires, you'll build and run a payroll process we can rely on as we grow, with a particular focus on commission payroll. You'll make sure our people are paid accurately, on time, and in full compliance with US federal, state and local requirements. Main responsibilities
- Run the full end-to-end US payroll cycle, including semi-monthly and bi-weekly payrolls, accurately, on time and in line with federal, state and local requirements.
- Own commission payroll: validate and process commissions, bonuses, draws, advances, clawbacks and true-ups in line with commission plans and agreed payment schedules, ensuring they are taxed, reported and included in overtime calculations correctly.
- Partner with Sales and Finance to obtain and reconcile commission data, investigate discrepancies, and make sure payouts are complete and approved before each payroll runs.
- Prepare and file payroll tax deposits and returns (such as Form 941 and state equivalents), and manage year-end reporting, including W-2s.
- Administer deductions and benefits, including health insurance, 401(k) contributions and wage garnishments, and send contribution files to benefit and retirement providers.
- Prepare and post payroll journals, manage financial entries in our accounting tool, and support month-end close with payroll reconciliations, accruals (including commission accruals) and related reporting.
- Respond to employee payroll and commission queries promptly and clearly.
- Act as the key link between HR and Finance so that payroll information is accurate, complete and timely.
- Coordinate with our European finance and payroll colleagues, and support ad hoc finance and payroll projects as required. Skills & attributes Technical skills
- Proven end-to-end US payroll processing experience, ideally 3+ years across multiple states
- Hands-on experience with commission-based payroll, such as tiered or accelerated plans, draws, clawbacks and retroactive adjustments
- Strong working knowledge of US payroll legislation and taxes: federal, state and local withholding (including supplemental wages), FICA, FUTA, SUTA, FLSA and regular-rate overtime rules, multi-state compliance, and state-specific commission and paid-leave laws
- Experience with benefits and 401(k) administration
- Advanced Excel skills, with the confidence to work with large datasets
- Nice to have: Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC), or working towards it Personal attributes
- Exceptional accuracy and attention to detail: payroll errors directly affect people's lives and you take that seriously
- Clear communicator who can explain pay and commission calculations to employees and stakeholders
- Organized and self-managing, able to handle competing deadlines and keep payroll on schedule without being chased
- Discretion and integrity with confidential employee data, with an understanding of data protection and privacy requirements
- Problem-solving mindset: you find the root cause of discrepancies and resolve them quickly
- Collaborative and comfortable working across time zones with colleagues in Europe Why Flatpay Joining Flatpay means stepping into a dynamic environment where innovation is encouraged, and teamwork is celebrated. Here, you'll have the opportunity to make a meaningful impact, contributing to our mission of empowering merchants to succeed. With us, you'll experience an ambitious drive to constantly push boundaries and redefine what's possible. While we don't take ourselves too seriously, we take our responsibility towards our people very seriously. We welcome driven, low-ego individuals who live our values and want to grow with us. At Flatpay, how we work matters as much as what we achieve.
