JOB OVERVIEW

FCCS is seeking an Event Partner & Production Manager who thrives in a fast-paced environment and enjoys bringing exceptional event experiences to life. In this role, you will lead speaker, sponsor, exhibitor, and production logistics across assigned conferences and events. Once speakers, sponsors, and exhibitors are confirmed you will serve as the primary operational contact. You'll transform event plans into seamless execution by coordinating communications, managing timelines, overseeing deliverables, and ensuring every detail is covered from planning through onsite delivery. Working with internal teams, technology partners, vendors, speaker representatives, sponsors, and exhibitors, you'll have the opportunity to build strong relationships, solve challenges creatively, improve processes, and play a key role in delivering high-quality events that leave a lasting impression. FCCS provides a tremendous culture to its employees with a focus on work/life values. In addition to competitive pay and benefits, we operate on a hybrid schedule, currently allowing all Denver based employees to work remotely 3 days/week. The benefits and bonus structure are unique and a competitive advantage for FCCS making us a Great Place to Work certified organization. In addition to an annual bonus opportunity and competitive benefits, the salary range for this position is $77,000 -100,000 annually.

JOB RESPONSIBILITIES

Program Execution and Cross-Functional Coordination

  • Own integrated workplans, communication schedules, milestone tracking, and readiness reporting for speaker, sponsor, and exhibitor logistics across assigned events.
  • Serve as the primary post-confirmation operational contact for speakers, speaker representatives, sponsors, and exhibitors from onboarding through post-event follow-up.
  • Identify dependencies, resolve routine issues independently, communicate risks, and provide leadership with clear status and event-readiness updates.
  • Develop and maintain standard operating procedures, templates, checklists, dashboards, and service standards that support consistent execution and continuous improvement.

Speaker Relations and Session Logistics

  • Manage communications and logistics for confirmed keynote, professional, and breakout speakers throughout the event lifecycle.
  • Coordinate agreements, registration, hotel and travel information, contractual deliverables, speaker portal orientation, and completion of event and session requirements.
  • Collect, review, track, and publish speaker biographies, photographs, session information, presentations, handouts, audiovisual requirements, and other collateral across approved event platforms and promotional channels.
  • Monitor deadlines, maintain accurate speaker and session records, and provide proactive, individualized follow-up to speakers and representatives.
  • Coordinate speaker connect calls, technical checks, onsite run-throughs, engagement tools, introducer materials, presentation files, and post-event attendee resources.
  • Review and process speaker payments and travel reimbursements in accordance with established agreements and procedures.

Sponsor and Exhibitor Logistics

  • Own sponsor and exhibitor logistics after commitments and benefit levels are confirmed, translating deliverables into clear tasks, deadlines, internal handoffs, and fulfillment tracking.
  • Lead onboarding and ongoing communications covering registration, hotel information, portal access, shipping, exhibit requirements, key dates, onsite expectations, and final details.
  • Collect, review, and coordinate required company assets, advertisements, registrations, booth personnel information, exhibit needs, and special requests.
  • Maintain sponsor and exhibitor fulfillment records and coordinate approved visibility across mobile applications, signage, printed materials, sponsored sessions, and other event channels.
  • Coordinate exhibit-space, sponsored-session, and activation logistics with vendors and Event Managers, including booth assignments, floorplan inputs, furnishings, utilities, audiovisual needs, shipping, setup, and teardown.
  • Manage sponsor and exhibitor invoicing and payment in coordination with Accounting and contribute to the development of sponsor and exhibitor benefits in partnership with Marketing.
  • Serve as the onsite logistics lead for sponsors and exhibitors, resolving issues, confirming fulfillment, gathering feedback, and documenting opportunities for improvement.

Continuing Professional Education (CPE), Platforms and Event Content

  • Administer event- and session-specific CPE and CEU requirements, including platform setup, attendee communications, submission tracking, audits, certificates, and record retention.
  • Maintain accurate and publication-ready speaker, session, sponsor, and exhibitor information across agendas, registration flows, conference websites, mobile applications, signage, and onsite collateral.
  • Test applicable registration flows, build approved pre- and post-event surveys, monitor participation, and prepare findings or corrections for leadership and Event Managers.
  • Evaluate event technology related to speakers, sessions, sponsors, exhibitors, and attendee engagement and recommend practical improvements.

Audio Visual (AV), Technology and Onsite Execution

  • Collaborate with Meeting Managers to identify, document, and monitor audiovisual and technology requirements for assigned conferences and events.
  • Prepare internal AV requests, track equipment and program changes, communicate impacts, and maintain accurate readiness information.
  • Serve as an onsite AV and technology lead, coordinating setup, testing, troubleshooting, and issue resolution with staff and vendors.
  • Support staffing and coverage plans and conduct onsite readiness checks for meeting rooms, speaker materials, exhibit areas, sponsor activations, signage, and technology.

JOB REQUIREMENTS

  • Bachelor’s degree or an equivalent combination of education, training, and relevant experience.
  • Five or more years of progressively responsible experience in event operations, conference management, hospitality, corporate events, or a related field.
  • Demonstrated experience independently managing concurrent event workstreams, external partner logistics, deadlines, deliverables, and communications.
  • Experience supporting conferences with exhibits, sponsorship benefits, sponsored sessions, branded activations, or similar partner programs.
  • Experience working with hotels, convention venues, general service contractors, audiovisual providers, shipping or material-handling partners, and other event vendors.
  • Advanced project-management, organizational, analytical, and reporting skills, including the ability to manage dependencies, assess risk, develop repeatable processes, and drive work to completion.
  • Excellent written, verbal, and interpersonal communication skills, with the judgment and influence to work effectively across internal teams, external partners, vendors, and senior stakeholders.
  • Strong proficiency in Microsoft Word, Excel, and PowerPoint, including experience managing PowerPoint session deliverables in an event-production environment.
  • Ability to work independently, exercise sound judgment, manage sensitive information, adapt to changing priorities, and remain composed while managing multiple deadlines.
