Original job description

Description

The DuPage Senior Citizens Council/Kane Senior Council (DSCC/KSC) is a not-for-profit 501(c)(3), volunteer-driven organization committed to the well-being, socialization, and health of seniors. DSCC/KSC is the designated Meals on Wheels and Community Dining provider in DuPage and Kane County.

About the Role Fundraising strategy is only as good as the operations that support it. The Development Operations Coordinator is the backbone of DSCC's development function - the person who ensures that every donor is acknowledged, every gift is recorded accurately, every report is generated on time, and every prospect is tracked through the pipeline.

DSCC is looking for a full time, on-site Development Operations Coordinator who reports to the Development Director. This role is a critical bridge between the donor-facing work of the Director of Development and the organization's financial and compliance functions. The Coordinator's accuracy, responsiveness, and attention to detail will directly determine the quality of DSCC's donor relationships and the integrity of its fundraising reporting.

Development Operations Coordinator Responsibilities/Tasks

  • Own and maintain the donor database (Kindful) as the organization's primary source of truth for all development activity - including gift entry, contact records, soft credits, relationship notes, and household linking.
  • Generate all development reports on a monthly, quarterly, and annual basis - including gift summaries by fund, donor retention analysis, LYBUNT/SYBUNT lists, event participation, grant pipeline status, and board-level dashboards.
  • Produce grant-specific financial reports and supporting documentation as required by foundation and government funders.
  • Process all gifts within 48 hours of receipt and generate acknowledgment letters and tax receipts within five business days.
  • Manage the acknowledgment and tax receipt workflow for all giving channels, including online, check, stock, and in-kind donations.
  • Support the Director of Development with prospect research.
  • Track all donor engagement activity in Kindful, including meeting notes, cultivation touchpoints, solicitation outcomes, and stewardship tasks - ensuring the team's institutional memory lives in the system, not in individual inboxes.
  • Manage the development calendar in coordination with the Director, including grant deadlines, acknowledgment timelines, campaign schedules, and reporting due dates.
  • Support the gift reconciliation process in partnership with the CFO and finance team on a monthly basis.
  • Manage event data entry and reconciliation between Give Smart and Kindful during event season, and advocate for technology solutions that reduce manual data transfer.

Job Benefits

  • $65,000 - $80,000 commensurate with experience and CRM proficiency
  • Paid Time Off (10 sick days per year, 10 vacation days after completion of 3 months of continuous service, and 11 paid holidays)
  • Health (HMO or PPO) and Dental PPO
  • 100% employer-paid life insurance, short/long-term disability
  • 401K
  • Travel Reimbursement
  • Professional Development Training
  • LGBTQ+ Cultural Competency Training
  • Company Sponsored Events
