Original job description

About Draganfly:

Draganfly Inc. (the “Company”) has been a recognized technology leader within the commercial UAV space for over two decades. We helped establish the commercial market & adoption of multi-rotor helicopters for public safety, agriculture, aerial imaging, & more. As a leader who helped shape the industry, Draganfly’s focus is on the sale of drone products and services, contract engineering & custom integration product development, and health monitoring products and services. Additional information on our expertise, projects, and culture can be found at https://draganfly.com/

About The Role:

This is a meeting-intensive Executive Coordinator role supporting the CEO. The core of the position is taking high-quality meeting minutes and ensuring every decision and action coming out of those meetings is documented and followed through. You will attend the CEO’s meetings, capture key discussions and decisions, identify action items and owners, document deadlines, maintain the action tracker, and follow up until items are completed. We are looking for someone who is an exceptional listener and note-taker, highly detail-oriented, and comfortable holding people accountable for updates and next steps. Remote anywhere in Canada, with preference given to candidates in the Eastern Time Zone.

Key Responsibilities:

Attend the CEO’s Draganfly meetings, primarily on Microsoft Teams, and produce clear, accurate minutes within 24 hours.
Capture decisions, action items, owners, and due dates, and maintain an organized, searchable library of meeting records.
Log every action item in Microsoft Planner or a similar tool within 24 hours and maintain one current view of the CEO’s commitments.
Follow up with owners until items close, immediately flag urgent risks or blockers, and help clear matters awaiting the CEO.
Send the CEO and Executive Assistant a weekly report of open, overdue, and completed items.
Prepare agendas, prior minutes, open actions, briefing notes, and background materials; ensure attendees receive what they need in advance.
Coordinate logistics and follow-up meetings with the Executive Assistant, internal teams, and external partners.
Organize records in SharePoint and OneDrive; draft correspondence and documents; maintain contact lists; improve templates and processes; and provide backup administrative support as needed.

Who are you really?

You turn busy meetings into clear minutes and clear next steps.
You write clearly, quickly, and accurately.
You follow up until the job is done so nothing falls through the cracks.
You are calm, reliable, and trusted by senior leaders.
You are comfortable asking busy people for updates.
You handle confidential information with discretion.
You enjoy finding better ways to get things done.

Qualifications:

Post-secondary diploma or degree in business, office administration, or a related field, or equivalent experience.
Five or more years of administrative experience, including at least two years supporting senior leaders or executives.
Proven ability to take minutes and convert them into clear action items.
Advanced Microsoft 365 skills, including Teams, Outlook, Word, Excel, and Planner.
Highly organized and detail-oriented, with strong follow-through.
Sound judgment and the ability to handle confidential information with discretion.
Available full-time, with flexibility to align with the CEO’s meeting schedule.

Preferred Qualifications

Experience in a public company, technology, or defense environment.
Experience with task management tools such as Planner, Asana, or Monday.com.
Experience with AI note-taking and transcription tools.
Experience preparing board or leadership meeting materials.
An interest in technology and drones.

Compensation Package:

Salary range: $60,000–$75,000 CAD per year.
Equity / Stock Options: Participation in the company’s stock option plan.
Comprehensive medical and dental benefits, including a Health Spending Account.
Matching RRSP program.
Generous time off, including vacation, wellness days, and the full week between Christmas and New Year’s.

Why Join Us? At Draganfly Innovations, you’ll join a collaborative team that values innovation, curiosity, and continuous improvement. We’re in an exciting growth phase, scaling our technologies, product lines, and teams as we continue to shape the future of UAV innovation. Joining us now means becoming part of a company with deep roots in the industry - and bold ambitions for what comes next. You’ll have the opportunity to make a meaningful impact, work on diverse and cutting‑edge projects, and grow your skills alongside passionate experts. We offer competitive compensation, strong benefits, and a supportive environment where your contributions truly matter. Here, you won’t just join a company - you’ll help build what comes next. As part of our hiring process, all candidates must successfully complete reference checks and a criminal background check.
