ABOUT THE ROLE
The Office Manager is responsible for the day-to-day management of Current’s shared office in Midtown Tampa, supporting Current and its co-located sister companies. This role oversees office operations, vendor relationships, budgets, space utilization, and employee experience to maintain a professional, efficient, and welcoming workplace. The Office Manager exercises independent judgment in operational and purchasing decisions within approved budgets and established guidelines, balancing the needs of participating companies to deliver consistent, equitable service.
Reporting to the Sr. Director, People Operations, the Office Manager partners with leaders across the participating companies to establish and uphold shared office standards, coordinate workplace needs, and resolve competing priorities. Success in this role requires sound judgment, proactive problem-solving, and the ability to communicate expectations with professionalism and tact while building strong relationships with employees, leaders, and external partners.
KEY RESPONSIBILITIES
OFFICE OPERATIONS AND SHARED STANDARDS
- Own day-to-day operations of the shared office, including opening and closing procedures, facilities issues, and the overall experience of working in the space.
- Coordinate incoming and outgoing mail, packages, and deliveries, ensuring timely distribution to the appropriate company and recipient and timely shipment of outgoing materials.
- Proactively identify and resolve routine facilities and operational issues, coordinating repairs and service requests with building management and vendors to minimize disruptions.
- Develop, recommend, and enforce shared office policies and ground rules (space use, kitchen, guests, conference room etiquette, and similar norms) in partnership with the office committee.
- Prioritize and resolve competing requests across Current and its sister companies, using independent judgment to balance needs fairly and escalating only when an issue needs leadership input.
VENDORS, BUDGET, AND SPEND
- Manage relationships with building management, the landlord, and facilities vendors, including cleaning, maintenance, security, parking, and catering.
- Make independent purchasing decisions within approved budgets, including committing spend on behalf of the organization for supplies, services, catering, and events.
- Monitor and replenish office supplies and kitchen and breakroom inventory, and coordinate equipment purchases and replacements to support daily operations within approved budgets.
- Own the office budget and the monthly catering budget within approved limits.
SPACE AND WORKPLACE TECHNOLOGY
- Serve as the primary administrator for the workspace reservation app, maintaining accurate availability and seating information and managing or overriding bookings for desks, offices, and conference rooms.
- Manage access to and scheduling for the restricted spaces, including the boardroom, the main conference room, and the training room.
- Partner with IT on workstation setup, meeting room technology, and equipment needs; coordinate conference and training room setup; and ensure spaces are organized, equipped, and ready for daily use.
EVENTS AND EXECUTIVE SUPPORT
- Plan and run office events, leadership meetings, and employee appreciation activities from start to finish, including budget, vendors, catering, and logistics.
- Support event planning needs across the broader organization as capacity allows.
- Provide executive support to on-site leaders as needed, including complex scheduling, correspondence, meeting coordination, travel and hotel arrangements, and off-site meeting logistics.
EMPLOYEE EXPERIENCE AND ONBOARDING
- Coordinate on-site new hire logistics with each company's HR team, including badge and building access, workspace readiness, welcome materials, and office tours.
- Welcome visitors, clients, and guests, coordinate their arrival with the appropriate host, and escort or direct them to their destination to maintain a professional, welcoming experience.
COMPLIANCE AND SAFETY
- Track and help resolve office compliance items, including safety and workers' compensation inspections, required postings, and licensing, in partnership with HR and Risk.
- Maintain emergency procedures and building safety information, and serve as the on-site point of contact during building issues.
QUALIFICATIONS
- 3+ years of experience in office management, workplace or facilities management, or senior administrative or executive support, ideally in a professional services or multi-company environment.
- Proven experience managing vendors and budgets, including negotiating contracts and making independent purchasing decisions.
- Event planning experience, from small team gatherings to larger leadership or client events.
- Confidence setting expectations and holding the line with senior stakeholders, with the tact to keep relationships strong.
- Strong organizational skills and the ability to juggle multiple stakeholders, vendors, and priorities at once.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office (Outlook, Word, Excel), Teams, and workspace or facilities software. Experience with Ramp or similar expense tools is a plus.
- A high degree of discretion and professionalism with sensitive information.
- A self-starter who genuinely enjoys being in the office every day and can work independently with minimal day-to-day supervision.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT
- Full-time, in-office presence is required five days a week at the shared office location.
- Ability to occasionally lift or move office supplies and event materials up to 25 pounds.
- Standard office environment with regular interaction across multiple companies and teams.
TARGET TIMELINE
Anticipated start date: November 2026, ahead of the office, as this person will need to start accepting deliveries, etc. at the new office space in early November.
