Original job description
Position Summary The Psychiatric Services Program Manager is a registry position focused on building the operational foundation for Alluvion Health’s psychiatric services program. Working approximately 8–10 hours per week, this position develops practical workflows, coordinates pre-launch and early implementation tasks, identifies gaps, and prepares tools and processes that existing clinical and operational teams can sustain. The position works collaboratively with Behavioral Health, Medical, Nursing, and support departments and has no inherent staff supervision or clinical decision-making authority.
Essential Duties and Responsibilities
Priorities Within an 8–10 Hour Weekly Schedule
- Focus primarily on tangible setup deliverables: workflow maps, referral and scheduling processes, readiness checklists, SOP drafts, job aids, and implementation issue tracking. Routine service-line operations and direct patient care remain with existing assigned teams. Program buildout: Translate the approved psychiatric services activation plan into a focused workplan, clear milestones, readiness checklists, and practical deliverables. Track open items and elevate barriers or decisions needing department approval.
- Workflow creation: Draft, test, document, and refine processes for psychiatric referrals, eligibility and intake, scheduling, interdisciplinary handoffs, communication, medication-related requests and routing, follow-up, and transitions of care, with clinical content approved by authorized providers.
- Launch preparation: Coordinate program setup needs, including scheduling rules, referral forms, EHR workflow requests, provider onboarding handoffs, RN coordinator integration, patient communication processes, and orientation materials. Assigned departments retain responsibility for credentialing, system configuration, and other specialized functions.
- Safety and quality workflow readiness: Help develop documented escalation pathways, tracking processes, and handoff expectations for high-risk concerns, missed follow-up, patient access, and referral completion, subject to clinical review and approval. Do not independently conduct clinical triage or establish clinical protocols.
- Training resources: Identify workflow training needs and help create job aids, checklists, and orientation materials for psychiatric support roles, including the planned RN coordinator and any future CMA support. Coordinate with clinical leaders and educators on role-specific instruction.
- Early workflow testing and refinement: Gather feedback from staff using the processes, identify bottlenecks, recommend practical changes, and update approved workflows during initial patient panel development and stabilization.
- Program readiness and sustainability: Identify operational dependencies involving staffing support, scheduling capacity, supplies, systems, and communication. Recommend solutions to responsible leaders and establish clear ownership for maintaining each process after launch.
- Implementation communication: Coordinate focused working sessions, maintain decision and action logs, and provide concise updates about completed buildout work, next steps, outstanding dependencies, and requests for approval.
- Policies and documentation: Draft program-specific standard operating procedures and workflow documents in partnership with Compliance and authorized clinical leaders. Route clinical, privacy, and regulatory content through established approval processes.
Required Qualifications
- Associate degree or higher in nursing, healthcare administration, behavioral health, public health, or a related field, or an equivalent combination of education and relevant experience.
- Experience developing healthcare workflows, implementing services, coordinating projects, or improving multidisciplinary clinical operations.
- Knowledge of behavioral health or psychiatric service delivery, patient referral and care coordination processes, and healthcare privacy and confidentiality requirements.
- Ability to turn broad goals into clear operating procedures, manage a small set of priorities independently, and produce useful deliverables within a limited weekly schedule.
Preferred Qualifications
- Bachelor’s degree or higher in nursing, healthcare administration, behavioral health, or related field.
- Experience in an FQHC, community health center, integrated primary care/behavioral health setting, or psychiatric services program.
- Experience with PMHNP program implementation, psychiatric RN support workflows, collaborative care (CoCM), EHR workflows, quality improvement, and staff training coordination.
- Current Montana RN license or other relevant clinical credential, if the role is filled by a licensed healthcare professional; a license is not required solely for nonclinical program management functions.
Role Boundaries and Collaboration
- The position develops, coordinates, documents, and recommends program workflows and implementation steps. Program priorities, resource commitments, and final approvals rest with established department and organizational leaders.
- Clinical assessment, psychiatric triage, prescribing, clinical oversight, and decisions about patient safety protocols remain with appropriately credentialed clinical personnel. The position may help document approved procedures but does not establish clinical standards independently.
- The position has no direct reports and does not supervise PMHNPs, RNs, CMAs, or other staff. It has no independent hiring, budget, credentialing, or service-expansion authority.
