Become a part of our caring community
The Senior Vendor Management Professional serves as the liaison between the hub business and its third-party vendors, acting as the connection point between Pharmacy Hub Operations and the broader enterprise Procurement and Accounting teams. This role manages the full vendor lifecycle from business need and sourcing through contracting, onboarding, performance management, invoicing, renewal, and offboarding; ensuring hub vendors deliver against commitments while complying with enterprise policies and financial controls.
As the Pharmacy hub scales its vended and hybrid operating model, including technology platforms, benefits verification, fax and intake services, patient communications, analytics, and other outsourced capabilities, this resource will establish a consistent, disciplined vendor management framework. The role partners closely with pharmacy hub leadership, Product Management, Enterprise Procurement, Accounting, Finance, Legal, Compliance, and Information Security to ensure vendor decisions are made quickly, documented properly, and managed with clear accountability for cost, quality, and risk.
The ideal candidate brings hands-on experience in vendor management, procurement, or sourcing within healthcare, pharmacy, or life sciences services, along with a strong working knowledge of purchasing and accounts payable processes. The individual is confident operating without direct supervision, exercising considerable latitude in determining objectives and approaches, and influencing the hub's vendor management processes. Success in this role requires the ability to navigate enterprise procurement and accounting requirements on behalf of a fast-moving business, translate operational needs into well-structured vendor agreements, and maintain accurate spend, accrual, and performance reporting that supports hub financial and operational goals.
Key Responsibilities
Vendor Strategy & Lifecycle Management
- Own the end-to-end vendor lifecycle for the hub business, including intake of business needs, sourcing support, onboarding, ongoing management, renewal, and offboarding.
- Maintain a centralized vendor inventory for the hub, including services provided, business owners, contract terms, spend, renewal dates, and risk tier.
- Partner with hub leadership to align vendor strategy with the hub operating model, including build-versus-vend decisions and vendor consolidation opportunities.
- Serve as the single point of contact for hub vendors on day-to-day, commercial, administrative, and escalation matters.
- Build and maintain positive, collaborative relationships with vendors that support hub service quality and long-term partnership.
Enterprise Procurement Partnership & Sourcing
- Serve as the hub's primary liaison to Enterprise Procurement, translating hub business requirements into clear sourcing requests, scopes of work, and evaluation criteria.
- Coordinate hub participation in RFIs, RFPs, and competitive bids, including subject matter expert scoring, vendor demonstrations, and selection recommendations.
- Identify opportunities to use existing enterprise agreements and preferred suppliers before initiating new sourcing events.
- Ensure all hub purchasing follows enterprise procurement policies, approval thresholds, and delegation of authority requirements.
Contracting, Compliance & Risk Management
- Review and negotiate vendor contract terms, defining business terms such as scope, deliverables, service level agreements (SLAs), pricing structures, and reporting requirements.
- Partner with Procurement and Legal on contract negotiation, amendments, statements of work, and business associate agreements (BAAs).
- Coordinate third-party risk, privacy, and information security reviews, ensuring vendors handling patient or client data meet HIPAA and enterprise security standards.
- Maintain contract documentation, compliance attestations, and audit-ready records for all hub vendors.
Accounting, Invoicing & Financial Stewardship
- Manage purchase requisitions and purchase orders for hub vendors in partnership with finance and enterprise accounting teams.
- Validate vendor invoices against contract terms, rates, and delivered services before approval; research invoice and contractual issues and resolve discrepancies with vendors and Accounts Payable.
- Partner with Accounting on month-end close activities, including accrual estimates, prepaid expenses, and timely reporting of received-but-not-invoiced services.
- Track vendor spend against budget and forecast, and provide variance explanations to Finance and hub leadership.
- Support internal chargeback and cost allocation processes where vendor services are shared across hub and enterprise pharmacy businesses.
Vendor Performance & SLA Governance
- Establish vendor scorecards and KPIs aligned to contracted SLAs, quality standards, and hub operational goals.
- Lead regular vendor performance reviews and quarterly business reviews (QBRs) with vendors and hub business owners.
- Identify performance gaps, manage corrective action plans, and apply contractual remedies such as service credits when warranted.
- Monitor vendor risk indicators, including financial stability, capacity, and operational resilience, and escalate concerns proactively.
- Manage renewal calendars well ahead of contract expiration to allow time for performance assessment, renegotiation, or transition planning.
Stakeholder Engagement & Reporting
- Serve as the hub's representative in enterprise procurement and accounting forums, advocating for hub needs while upholding enterprise standards.
- Provide hub leadership with regular reporting on vendor spend, contract status, upcoming renewals, performance trends, and open risks.
- Coordinate with Operations, Product, Technology, Program Launch, and Clinical teams to confirm vendor requirements and validate delivered services.
- Prepare vendor-related materials for budget planning, business reviews, and executive decision-making.
Process, Tools & Continuous Improvement
- Develop and document hub vendor management standard operating procedures, intake forms, and approval workflows that align with enterprise procurement and accounting processes.
- Leverage enterprise procurement, contract management, and enterprise systems to keep vendor, PO, and invoice data accurate and current.
- Identify opportunities to reduce cycle times, consolidate vendors, improve pricing, and strengthen controls.
- Educate hub business owners on vendor management, purchasing, and invoice approval responsibilities.
