Position Description:
The Preventive Maintenance Supervisor coordinates routine maintenance, repairs, and work orders across the business’s food-service, retail, fuel station, and accommodations operations. This hands-on role inspects facilities and equipment, prioritizes and assigns maintenance requests, coordinates vendors and staff, and keeps accurate records in the work-order system. The supervisor must be comfortable receiving, entering, updating, and closing work orders by phone and computer.
Responsibilities/Duties/Functions/Tasks:
- Inspect assigned locations regularly to identify maintenance needs, safety concerns, damage, and opportunities to prevent equipment or facility failures.
- Create and maintain preventive-maintenance schedules for buildings, grounds, vehicles or equipment where applicable, kitchen and refrigeration equipment, pumps, restrooms, RV sites, and other property systems.
- Receive work requests by phone, email, or in person; enter them into the workorder system; and record the location, issue, priority, and requested service.
- Review, prioritize, assign, and track work orders through completion, keeping requesters informed of status or delays.
- Process work orders using a computer and phone, including updating notes, labor and materials, vendor information, completion status, and follow-up needs.
- Perform basic repairs and maintenance within the supervisor’s training and authorization; coordinate qualified employees or outside contractors for specialized work.
- Coordinate repairs and service calls for electrical, plumbing, HVAC, refrigeration, lighting, doors, parking areas, landscaping, signage, and other building or site systems.
- Support maintenance needs specific to each operation, including food-service equipment and storage areas, retail fixtures, gas-station facilities, and RV-park utilities and common areas.
- Respond promptly to urgent issues that could affect safety, business operations, product quality, or guest and customer service; escalate emergencies to management and appropriate responders.
- Follow applicable company procedures and safety requirements, including safe work practices around food-handling areas, fuel facilities, electrical systems, chemicals, and occupied RV sites.
- Maintain an organized inventory of maintenance supplies, tools, and commonly used parts; report purchasing needs and help control maintenance costs.
- Keep accurate maintenance records, inspection checklists, equipment histories, and vendor documentation.
- Communicate professionally with employees, guests, customers, suppliers, and contractors; protect customer privacy and minimize disruption to operations.
- Provide direction to maintenance employees or contractors, verify completed work, and report recurring issues or larger repair needs to management.
Qualifications:
- Experience in facilities maintenance, building operations, equipment repair, or a related field; supervisory or work-order coordination experience is preferred.
- Comfortable using a computer, email, phone, and work-order or maintenance tracking software; able to learn the company’s system.
- Able to enter clear, accurate work-order details and follow requests through to completion.
- General knowledge of building systems and routine repairs; able to recognize when work requires a licensed or specialized contractor.
- Strong organization, prioritization, communication, and problem-solving skills.
- Valid driver license and ability to travel between assigned locations, if required.
- Any required licenses, certifications, or training will depend on assigned duties and local requirements.
Physical and Work Requirements:
- Ability to walk through indoor and outdoor work areas, inspect facilities, and use a computer and phone regularly.
- May need to lift or carry tools and supplies, climb ladders, bend, kneel, or work outdoors in varying weather, with or without reasonable accommodation.
