About BEAR Technologies

BEAR Technologies is a managed IT services provider delivering technology solutions, infrastructure, and ongoing IT support to businesses. We pride ourselves on providing dependable service, maintaining strong customer relationships, and creating a collaborative, team-oriented work environment.

We are seeking an organized, dependable, and detail-oriented Office Manager to support our daily office operations.

This is a hands-on position that combines traditional office administration with shipping, receiving, inventory management, and operational support. The ideal candidate enjoys variety in their work, takes initiative, and can manage multiple responsibilities while maintaining accuracy and attention to detail.

The Office Manager will work closely with our Operations Administrator, who will provide training, guidance, and ongoing support as the new employee learns the position and assumes additional responsibilities.

Key Responsibilities

Office Administration

Answer and direct incoming phone calls, greet visitors, and maintain visitor records.
Oversee office and breakroom supplies, coordinate restocking, and maintain an organized office environment.
Process incoming mail, scan documents, and maintain accurate electronic and physical filing systems.
Complete routine offsite errands, including purchasing and picking up office supplies, coordinating event-related pickups, and dropping off shipments or deliveries.
Assist with invoice filing, recordkeeping, and general administrative duties.
Provide administrative support to various departments as needed.
Help ensure daily office operations run smoothly and efficiently.

Shipping, Receiving & Inventory Management

Coordinate incoming and outgoing shipments, including packaging, labeling, tracking, and documentation.
Receive equipment and materials, verify shipments against purchase orders, and accurately record received items.
Maintain inventory records, including product quantities, serial numbers, and asset tracking information.
Assist with physical inventory counts, reconciliation, and organization of inventory storage areas.
Identify and communicate inventory discrepancies or receiving issues.
Work closely with Procurement and Operations to ensure equipment is properly received, documented, and accounted for.

Operations & Administrative Support

Assist with planning and coordinating company events, meetings, and employee activities.
Support customer inventory tracking and associated documentation.
Maintain company vehicle records and related documentation.
Assist with company file organization, document management, and recordkeeping.
Support audit preparation by gathering, organizing, and maintaining required documentation.
Collaborate with the Operations Administrator on ongoing administrative projects and process improvements.
Perform other administrative and operational duties as assigned.

Qualifications

Required

Previous experience in office administration, office coordination, or a similar administrative role.
Strong organizational skills and exceptional attention to detail.
Proficiency with Microsoft Office applications, including Outlook, Excel, and Word.
Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
Strong written and verbal communication skills.
Professional and friendly demeanor when interacting with employees, customers, and visitors.
Ability to work independently while collaborating effectively with other departments.
Possess a valid driver's license and meet company requirements for operating company vehicles.
Dependability, adaptability, and a willingness to learn new processes and systems.
Ability to maintain accurate records and handle confidential information professionally.

Preferred

2+ years of experience in office administration, office management, or a related position.
Experience with shipping, receiving, purchasing, or inventory management.
Familiarity with ConnectWise Manage or similar business management software.
Experience working in an IT services company, technology environment, or related industry.

What We're Looking For

We're looking for someone who takes pride in keeping things organized, accurate, and running smoothly.

Our ideal Office Manager is proactive, resourceful, and comfortable wearing multiple hats. One day may involve coordinating equipment shipments and updating inventory records, while another may involve assisting with company events, organizing documentation, or handling general office needs.

The right candidate will be someone who:

Takes ownership of their responsibilities and follows through on tasks.
Notices the small details and understands why accuracy matters.
Is comfortable balancing routine daily responsibilities with unexpected priorities.
Communicates effectively and works well with different personalities and departments.
Enjoys learning new systems, improving processes, and finding ways to make daily operations more efficient.
Is willing to jump in and help wherever needed.

Compensation & Benefits

Pay: $22.00–$26.50 per hour, depending on experience and qualifications.

BEAR Technologies offers a competitive benefits package, including:

Paid Time Off: 2 weeks of vacation, 6 personal days, and 8 paid company holidays.
Retirement: SIMPLE IRA with employer matching.
Health, Dental, and Vision Insurance.
Dental & Vision: Optional employee-paid dental and vision insurance.
Workplace Flexibility: Potential eligibility for one regularly scheduled work-from-home day per week after successful completion of an initial training and evaluation period, subject to management approval and operational needs. Occasional work-from-home flexibility may also be available at management's discretion.
