Position Summary

The Aquatic Program Manager is responsible for the daily management and measurable performance of assigned aquatic programs, with primary emphasis on group and private swim lessons. This position is accountable for program enrollment, class utilization, instructor productivity, instructional quality, staff training, participant progression, and financial results within approved budgets and authority. The Manager leads a consistent, level-based curriculum and develops instructors while ensuring reliable coverage, safe program delivery, clear reporting, and continuous improvement. The position reports to the Aquatics Director.

Essential Responsibilities

Program planning, enrollment and financial performance

Maintain accurate offerings, class capacity, enrollment, waitlists, cancellations, and instructor assignments for all swim lesson sessions.

Track enrollment and seat-fill percentages by session, level, time slot, and program type; compare performance with department-approved targets and implement approved improvements.

Review lesson revenue, direct instructional labor expense, instructor productivity, refunds, and program margin against approved budgets; identify trends, explain variances, and recommend adjustments.

Build seasonal program plans that reflect demand, participant progression, appropriate class sizes, staffing availability, and approved revenue and margin expectations.

Provide the Aquatics Director a monthly program performance report with enrollment, utilization, revenue, labor, margin, retention, waitlists, and proposed corrective actions.

Staff supervision, scheduling and accountability

Develop and monitor instructor schedules to maintain qualified coverage for every scheduled swim lesson; proactively resolve absences and secure substitutes without compromising required facility safety staffing.

Hold advance planning meetings with the Aquatics Director and appropriate staff to review upcoming sessions, staffing needs, training, events, enrollment, and identified risks.

Supervise assigned instructors through documented observations, feedback, coaching, and follow-up; address performance concerns and recommend formal action through established procedures.

Oversee new instructor orientation, verify credentials before assignment, monitor training completion, and reconcile instructor hours and payroll records by established deadlines.

Adjust class and labor assignments within delegated authority based on demand and productivity, while maintaining safe ratios, instructional quality, and customer service.

Curriculum, instructor development and lesson quality

Maintain and implement a written, level-based swim lesson curriculum identifying objectives, required skills, evaluation methods, and consistent advancement criteria.

Create a seasonal and long-term instructor development plan that includes onboarding, mentoring, observed instruction, in-services, skill assessments, and documented follow-up.

Conduct recurring instructor in-services on a schedule approved by the Aquatics Director; document attendance, competency, and completion of assigned improvements.

Monitor accuracy and consistency of participant level placement, skill assessments, movement between levels, and repeat enrollments; use findings to improve instruction and retention.

Review instructor performance and participant or parent feedback to identify quality improvements and ensure consistent application of instructional standards.

Safe operations, customer service and communication

Confirm lessons have appropriately qualified instructors, necessary equipment, designated teaching space, and required safety coverage before beginning.

Oversee completion of assigned cleaning, safety, water-quality, and operational checklists in coordination with the Aquatics Director and authorized pool operations personnel.

Document incidents and participant concerns in accordance with established procedures; promptly escalate unresolved safety, staffing, or service issues.

Provide timely, professional responses to program questions, registration concerns, level-placement questions, and member feedback; coordinate appropriate follow-up.

Support special events and serve as Manager-on-Duty when assigned, consistent with operational needs and training.

Direct teaching responsibilities

Teach 8 scheduled hours per week as an integrated part of the aquatics program, following the approved swim lesson curriculum, established level-placement and advancement standards, and seasonal instructional priorities. Teaching assignments will be planned with the Aquatics Director and must support program participation, instructor development, lesson quality, and operational needs without replacing regular instructor coverage or limiting essential management responsibilities. Completion and outcomes of the committed teaching hours will be reviewed as part of regular program accountability.

Additional private swim lessons may be offered beyond the 8 committed teaching hours based on participant demand, available space, and Aquatics Director approval. These lessons will be scheduled and tracked separately, including enrollment, hours, and revenue, and must not interfere with the manager’s supervisory and financial responsibilities.

Physical and Work Requirements

Role may involve extended periods of standing or sitting, walking on pool decks, bending, kneeling, reaching, handling equipment, and work in indoor or outdoor aquatic environments with noise, temperature variation, and pool chemicals. Any specific lifting threshold and physical-demand frequency must be confirmed by Human Resources for this position. Reasonable accommodations will be considered in accordance with applicable law.

Accountability and Performance Review

The Aquatics Director will establish and periodically review measurable expectations for enrollment/seat-fill percentages, instructor labor utilization, direct instructional expense, program contribution margin, retention, curriculum implementation, training compliance, and service quality. The Manager will review results monthly, explain exceptions, and document agreed action steps. Financial thresholds, budget definitions, and decision authority are determined by leadership rather than presumed in this description.

Other Duties and Employment Statement

Perform other related duties as assigned by authorized leadership. Duties may change with program and operational needs. Arch Amenities Group is an equal opportunity employer and provides reasonable accommodation consistent with applicable law.
