Original job description
Job Title: Project CoordinatorJob DescriptionThe Project Coordinator supports active concrete construction projects by working closely with Project Managers and Superintendents to ensure seamless coordination between the office, field, vendors, subcontractors, and other project stakeholders. This role focuses on managing project documentation, tracking materials and procurement, reviewing drawings for scope and coordination, and helping drive projects to successful completion. It offers significant hands-on exposure to NYC construction sites and a clear path to grow into an Assistant Project Manager and eventually a Project Manager.Responsibilities
- Support Project Managers and Superintendents on active concrete construction projects from pre-construction through closeout.
- Coordinate project documentation between the office, field teams, general contractors/construction managers, vendors, and subcontractors.
- Maintain and track RFIs, submittals, shop drawings, change orders, and drawing revisions to ensure timely responses and approvals.
- Review structural and architectural drawings to confirm scope, identify coordination issues, and support field implementation.
- Help plan and coordinate concrete pours, reinforcing steel, formwork, embeds, anchor bolts, and related material deliveries.
- Track procurement and lead times for concrete, rebar, formwork, and other materials to prevent delays and support schedule adherence.
- Assist with quantity takeoffs and material tracking to support ordering, budgeting, and field installation.
- Coordinate with concrete suppliers, rebar and detailing vendors, testing agencies, and other trades to align schedules and work activities.
- Maintain project schedules, look-ahead schedules, meeting minutes, and action-item logs, and follow up to ensure items are closed.
- Track field changes and assist with developing and maintaining accurate as-built documentation.
- Assist Project Managers with defining subcontractor and vendor scopes, obtaining pricing, preparing purchase orders, and documenting changes.
- Help resolve discrepancies between structural drawings, architectural drawings, shop drawings, and actual field conditions by coordinating with the project team.
- Support punch-list activities and project closeout, including documentation, final inspections, and turnover requirements.
- Move between office and field as needed to gather information, verify conditions, support the site team, and keep documentation current.
- Communicate effectively with foremen, superintendents, Project Managers, vendors, engineers, and general contractors to keep all parties aligned.
- Proactively follow up on open RFIs, submittals, deliveries, and action items to keep the project moving forward.
Essential Skills
- 13 years of construction experience, preferably in structural or concrete-focused projects.
- Previous experience with a concrete contractor, structural concrete subcontractor, foundation contractor, or a general contractor with significant concrete work.
- Strong familiarity with cast-in-place concrete, foundations and footings, slabs and elevated slabs, concrete walls and columns, rebar, formwork, and concrete pours.
- Ability to read and interpret construction drawings and specifications, including structural and architectural plans.
- Understanding of RFIs, submittals, change orders, and project documentation processes.
- Knowledge of structural drawings, concrete testing and inspections, shop drawings, and coordination requirements.
- Organizational skills to manage multiple RFIs, submittals, deliveries, and open items simultaneously.
- Effective communication skills for interacting with field teams, vendors, engineers, and general contractors.
- Field-minded approach with an understanding of how concrete work is actually built in practice.
- Comfort working in a fast-paced NYC subcontractor environment.
- Comfort moving between project sites and the office to support both field and administrative needs.
Additional Skills & Qualifications
- Experience with construction software such as Procore, Bluebeam, AutoCAD, Excel, or similar tools is beneficial.
- NYC construction experience is highly preferred.
- Interest in growing into an Assistant Project Manager and eventually a Project Manager role rather than remaining solely in administrative coordination.
- Experience or exposure to structural concrete, foundations, superstructure work, rebar, formwork, and cast-in-place concrete.
- Background in roles such as Project Engineer, Field Engineer, or Assistant Project Manager is advantageous.
- Proactive mindset and strong follow-up habits to obtain answers and close out open items.
- Ability to work closely with PM and field teams to learn concrete operations, drawings, RFIs, submittals, procurement, change orders, and field coordination.
Work EnvironmentThis role is based within a concrete-focused subcontractor environment in New York City, offering hands-on exposure to real construction projects rather than purely administrative coordination. You will split your time between the office and active job sites, working directly with field teams and project leadership on structural concrete, foundations, superstructure, and cast-in-place work. The pace is fast and dynamic, with multiple projects and stakeholders to coordinate. The culture emphasizes responsibility, field exposure, and accelerated career development, providing opportunities to take on meaningful project coordination tasks and grow into more senior project management roles. Standard construction technology tools such as Procore, Bluebeam, AutoCAD, and Excel are commonly used to manage documentation, drawings, and communication.
